Your Specific Responsibilities:
The OPS Senior Clerk position is a temporary full-time position responsible for assisting the Office of Community Health and Planning (OCH&P). This position will report directly to the Healthy Start, Operations Management Review Specialist
-SES The incumbent will be assisting management team by providing daily administrative and clerical support for the program. Work involves assignments that require independent work and adhering to state guidelines. Incumbent will review, assign, prepare and track correspondence for program including filing and follow up on pending issues.
Perform specific assignments such as, assisting the Healthy Start Data Management Office by conducting research, preparing reports, handling information request, and performing clerical functions.
Inputs a variety of data from source documents into applicable computer systems, using a data entry device, such as computer, scanner etc. This includes working closely with the Healthy Start Coalition of Miami-Dade to ensure proper case closure for all prenatal and postnatal clients. Incumbent will ensure that cases are closed in the Well Family System using the closure in the Coordinated Intake and Referral (CIR) when it is determined that services are not needed, services are not desired, or the client has been unable to locate after contracted attempts.
Assist with the development of processes that will improve the quality improvement and quality assurance needs for the Health Start Data Management Office. Responsible in identifying prenatal providers that complete screens and monitor the timeliness in which those screens are received by documenting weekly. Assist with the completion of daily and monthly reports related to this for submission to the Healthy Start Coalition of Miami Dade.
Maintains data logs, statistical reports, and other related materials for the use of the Program Office staff. Extract and compiles information from databases to produce reports and will assist with sorting, maintaining data entry records and other relevant materials as needed to ensure proper clerical task as met as it relates to the proper case closure of clients in the Well Family System.
Assigns and prioritizes work assignments as required. Attends mandatory training and in-services for professional development
Required Knowledge, Skills, and Abilities:
* Knowledge of administrative principles and practices.
* Knowledge of office procedures and practices.
* Knowledge of the methods of data collection.
* Knowledge of the principles and techniques of effective communication.
* Knowledge of computer skills, Word and Excel.
* Knowledge of correct spelling, punctuation and grammar usage.
* Ability to prepare correspondence and administrative reports.
* Ability to understand and apply applicable rules, regulations, policies, and procedures.
* Ability to utilize problem-solving techniques.
* Ability to work independently.
* Ability to plan, organize, and coordinate work assignments.
* Ability to prepare a wide variety of written material such as reports, memoranda, pamphlets, newsletters, articles and presentations.
* Ability to establish and maintain effective working relationships with others.
* Ability to communicate effectively (excellent verbal and written communication skills).
* Skill in operating a variety of computer software programs (Word, Excel, PowerPoint), audiovisual and computer equipment.
* Skill in typing.
Qualifications:
Minimum - One year of clerical or administrative support experience, including filing, data entry, and document handling
Preferred - Incumbent in this position is preferred to be bilingual in English and Spanish or English/Creole. Experience working with data management systems such as Well Family System or Coordinated Intake & Referral (CIR).
