Position: Senior Executive Assistant (Miami, FL)

Senior Executive Assistant

This is a high-trust, Senior Executive Assistant role supporting the CEO of AEG Fuels across both business and personal responsibilities. The position goes beyond traditional administrative support to include coordination of personal operations, real estate assets, and day-to-day family office activities.

This role is ideal for an experienced Executive Assistant who takes pride in ownership, reliability, and attention to detail, and who is looking for a long-term opportunity with expanded responsibility and visibility.

This is an opportunity to work closely with a CEO in a trusted capacity while gaining exposure to both company operations and a dynamic family office environment. The role offers long-term stability, meaningful responsibility, and the ability to grow alongside evolving needs.

Key Responsibilities:

  • Executive Support
    • Manage and optimize the CEO's calendar across business and personal commitments
    • Coordinate all travel, including complex domestic and international itineraries
    • Prepare meeting materials, agendas, and briefings to ensure the CEO is well-prepared
    • Draft, review, and manage communications and correspondence
    • Track follow-ups and ensure timely execution of commitments
    • Serve as a gatekeeper, prioritizing inbound requests and protecting the CEO's time
  • Business Coordination
    • Support scheduling and coordination of leadership meetings and company priorities
    • Assist with preparation of presentations and internal communications
    • Track key action items and ensure follow-through across teams
    • Provide general support on special projects as needed
  • Family Office, Personal Support, & Real Estate Coordination
    • Assist in overseeing a portfolio of real estate assets, including multifamily and retail properties
    • Coordinate with property managers, brokers, and contractors
    • Track projects, leasing activity, and key deadlines
    • Support administrative aspects of acquisitions, dispositions, and capital projects
  • Household & Lifestyle Management
    • Coordinate operations across multiple residences, including vendors, maintenance, and scheduling
    • Manage personal travel planning and logistics
    • Assist with events, guests, and general household coordination
  • Financial & Administrative Support
    • Manage bill pay and ensure timely handling of personal financial obligations
    • Coordinate with accountants, attorneys, and other service providers
    • Maintain organized records, documents, and contracts
    • Help implement and maintain simple systems for tracking expenses and obligations
  • Personal Calendar Management
    • Maintain and coordinate the CEO's personal calendar alongside business commitments
    • Ensure alignment across professional and personal priorities
    • Anticipate scheduling needs and proactively resolve conflicts
  • Team & Vendor Coordination
    • Work closely with internal support staff and external vendors
    • Ensure clear communication and timely execution of tasks
    • Build strong working relationships with key service providers

Requirements:

  • 5–10+ years of experience supporting senior executives
  • Experience in a family office, private household, or similar environment is a plus
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • High level of discretion, professionalism, and reliability
  • Comfortable managing both business and personal responsibilities
  • Highly organized and detail-oriented
  • Proactive, dependable, and solutions-focused
  • Strong sense of ownership and follow-through
  • Low ego, flexible, and willing to handle a wide range of tasks
  • Interested in a long-term role with stability and growth
