Billing Tax Specialist Job Description
The Billing Tax Specialist supports a critical tax filing and compliance process within the bonds business, with a primary focus on documentation management, compliance workflows, and coordination with internal teams and external vendors. This role centers on gathering, reviewing, and transmitting supporting documentation for tax filings rather than preparing tax returns, and plays a key part in reducing a significant backlog of outstanding filing actions.
The successful candidate will be highly organized, detail-oriented, and comfortable managing a high volume of requests in a fast-paced, process-driven environment.
Support the tax filing process for agency bond business and related transactions by managing documentation and workflow activities.
Review, gather, and compile supporting documentation required for tax filings, ensuring completeness and accuracy.
Coordinate the secure transmission of documentation to external vendors responsible for completing tax filings.
Manage and track requests generated through the policy management system to ensure timely handling and resolution.
Assist with reducing a large backlog of open filing actions by prioritizing tasks and driving them to completion.
Review tax filings for completeness and accuracy before submission to ensure they meet internal standards and regulatory requirements.
Partner closely with internal Tax team members and external vendors throughout the filing process to resolve questions and keep work moving.
Maintain detailed records of filings, documentation, and communications in accordance with internal procedures and regulatory guidelines.
Monitor workflow queues and follow up on outstanding items to keep filings progressing through the process.
Perform administrative and documentation processing tasks, including data entry, document processing, and filing related to tax and insurance activities.
Use Excel and other Microsoft Office tools to perform data entry, reconcile detailed data, and support billing, reconciliation, or reporting functions as needed.
Contribute to process improvement initiatives and support AI-driven operational efforts by following standardized procedures and providing feedback on workflow efficiency.
Work independently after training while collaborating with cross-functional teams to meet deadlines and support high-priority initiatives.
Experience in compliance, documentation management, operations support, or administrative processing.
Demonstrated experience gathering, reviewing, and organizing supporting documentation for regulatory or operational processes.
Strong attention to detail and accuracy when handling high volumes of documentation and data.
Ability to manage multiple priorities and a substantial workload in a fast-paced, evolving environment.
Strong organizational and follow-up skills to track requests and ensure timely completion of tasks.
Prior administrative and organizational skills with a focus on documentation and workflow coordination.
Working knowledge of general accounting principles to support billing, reconciliation, and related activities.
Proficiency with Microsoft Office, particularly Excel and Outlook, including comfort with Excel data entry and data reconciliation.
Ability to digest and reconcile detailed data using spreadsheets and related tools.
Comfort working in manual, process-driven environments with defined procedures and workflows.
Ability to work independently after training while collaborating effectively with cross-functional teams.
Strong communication skills to coordinate with internal Tax team members and external vendors.
