The Constituent Services Coordinator manages constituent concerns, coordinates with government agencies and municipal partners, maintains community relationships, supports mainland outreach, and organizes District 5 events. The position requires strong case management, communication, organization, and consistent follow-through.

Key Responsibilities:
  • Manage constituent cases from intake through resolution, including documentation, service requests, departmental follow-up, regular updates, and escalation of urgent or delayed matters.
  • Serve as the office liaison to City of Miami Commissioners, County departments, state agencies, and other partners on issues involving City, County, shared, or private jurisdiction.
  • Attend homeowner, condominium, civic, and neighborhood association meetings; document concerns, open cases, and provide timely follow-up to residents and community leaders.
  • Build and maintain relationships with neighborhood groups, businesses, schools, nonprofits, faith-based organizations, and government partners throughout mainland District 5.
  • Maintain accurate constituent case records, a stakeholder contact database, and a master calendar of meetings, deadlines, events, projects, and follow-up dates.
  • Plan and manage District 5 events, including partners, volunteers, logistics, outreach, onsite operations, tracking, and post-event reporting.
  • Coordinate with the Communications Manager on public meetings, events, constituent successes, project updates, photographs, and other timely public information.
  • Prepare weekly reports outlining new and resolved cases, overdue matters, community meetings, intergovernmental coordination, upcoming events, and recommended priorities.
Qualifications and Skills:
  • Bilingual (English and Spanish)
  • Strong organization, professional communication, sound judgment, and consistent follow-through.
  • The ability to manage multiple cases, deadlines, meetings, and community priorities with accuracy and discretion.
  • A service-oriented approach and the ability to work effectively with residents, associations, elected offices, government agencies, volunteers, and community partners.
  • Responsiveness, including prompt case entry, meaningful constituent updates, complete records, discretion with sensitive information, and timely escalation when assistance is needed.
Performance Expectations:

The coordinator is expected to acknowledge concerns promptly, maintain complete and current records, meet reporting deadlines, provide regular updates, attend assigned meetings prepared, escalating urgent or overdue matters, and ensure every case has a documented response, resolution, official determination, or next available option.
