The Medical Receptionist position increases the efficiency of the Medical Assistants and Providers in the delivery and coordination of medical care; and of the COO in the administration of overall Health Services. The Medical Receptionist is the first person that prospective or current patients see when they visit or call the medical office and extraordinary customer service is required.

The individual in this position is responsible for the overall administrative functions that support the provision of primary medical care to patients, including but not limited to collecting data, assisting the COO and health services leadership in generating reports, maintaining patient charts, scheduling patient appointments, routing faxes appropriately, receiving and processing patient financial payments and other clerical duties to support the work of the COO and health services for quality patient services.

Essential Functions:

  • 1. Greet and check in patients; inform new and existing patients of medical office procedures and policy.
  • 2. Register patients according to office protocols, assist patent to complete all necessary forms and documents.
  • 3. Verify and update patient information as required; enter all patient information into data system.
  • 4. Answer and manage incoming calls, respond and comply with requests for information in compliance with privacy and security regulations; following established protocols.
  • 5. Move patients through appointments as scheduled. Check daily and schedule patient appointments on an ongoing basis, filling in cancellations and no-shows.
  • 6. Confirm upcoming appointments and recalls according to office protocol.
  • 7. Maintain and manage patient records in compliance with privacy and security regulations. Safeguard patient privacy and security.
  • 8. Arrange patient charts for appointments according to office protocol.
  • 9. Organize referrals to other specialist, including dental and behavioral health. Dispatch lab work appropriately.
  • 10. Inform patients of fees; collect and receipt payments from patients before treatment.
  • 11. Keep accurate data with all applicable demographic information required by Barnabas and its partners. Prepare weekly and monthly statistical reports in both InSync and Excel. Input appropriate ETO data.
  • 12. Maintain and update volunteer list with changes, additions and any information pertinent to clinic operations. Maintain volunteer time sheets and submit totals monthly to the Data Collector. Prepare and update in-kind value of services received for reporting and auditing purposes.
  • 13. Place orders for non-medical supplies; assist with inventory control and documentation.
  • 14. In coordination with the Dental Manager, performs routine schedule for maintenance of AED, emergency kits and first aid supplies in the office to ensure they are stocked properly and up to date.
  • 15. Sort and distribute incoming and outgoing mail.
  • 16. Update patient education materials and maintain a profession reception area at all times.
  • 17. Trains volunteers assisting in the reception/administrative area.
  • 18. Collaborate with Empowerment team in the enrollment and re-certification of eligibility of patients to receive Barnabas primary medical care services.
Competency (knowledge, skills, abilities):

  • 4. Planning and organizing.
  • 7. Medical practice management software desired. Proficiency on basic elements required after training; full proficiency within 30 days on the job.

Supervisory Responsibilities:

This position has no supervisory responsibilities.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
