About the Role

We are looking for a motivated and detail-oriented Administrative Assistant II to join a dynamic team in the pharmaceutical industry. In this role, you will contribute to supporting day-to-day administration, ensuring compliance with regulatory requirements, and managing sample accountability activities.

Responsibilities
  • Support day-to-day administration of the pharmaceutical sample program, ensuring compliance with PDMA, FDA, county regulations, and internal Sampling SOPs.
  • Monitor and manage sample accountability activities, including inventory tracking, reconciliation, transfers, returns, and reporting.
  • Serve as the primary operational contact for sample-related inquiries and manage the Sample Operations tickets to ensure timely resolution of requests.
  • Support hand-carry sample programs, virtual inventory management, medical meetings, and sample fulfillment activities.
  • Investigate and resolve inventory discrepancies and sample accountability issues in partnership with field personnel and third-party vendors.
Requirements
  • Proficient with MS Office, including Word, Excel, PowerPoint, and Outlook.
  • Meet ***'s Global Hybrid working schedule. Currently, there is a minimum of 3 days in the office (subject to change).
  • High School Diploma or GED required; bachelor's degree in Business, Supply Chain, Life Sciences, Healthcare Administration, or related field preferred.
  • 3-5 years of experience supporting pharmaceutical sample operations, commercial operations, supply chain, compliance, or related functions with a bachelor's degree; or 7-9 years of equivalent professional experience in lieu of a degree.
  • Experience working within a highly regulated environment with a preference for Pharmaceutical, biotechnology, healthcare, or life sciences industries.
Preferred Qualifications (if any)
  • Working knowledge of PDMA requirements, pharmaceutical sample accountability practices, FDA regulations, and internal compliance controls preferred.
  • Proven ability to implement process improvements.
  • Excellent written and verbal communication skills.
