Medical Records Technician (ROI)
The Miami VA Healthcare System is seeking an experienced and dynamic Medical Records Technician (ROI). The MRT (ROI) reviews and processes requests for patient protected health information (PHI), and provides direct customer service to the Veteran (or third party), by providing copies of the Veteran's PHI, when a signed, written request is received, or upon the Veteran's valid authorization to a third party.
Ideal applicants are those who want to contribute to the achievement of quality care standards, as well as the growth and development of a VA academic hospital program. Other duties and responsibilities include, but are not limited to:
- Applying, interpreting, and analyzing laws and regulations related to the disclosure of health information
- Being responsible for educating requestors on requirements for submitting requests for health information
- Receiving and validating authorization forms and requests for information and prioritizing requests according to policies and regulations
- Using various computer applications to track and release all authorized release of information requests
- Initiating and maintaining the accounting of disclosure for all records disclosed from a Privacy Act system of records
- Communicating with internal and external stakeholders to provide technical expertise regarding the release of information process
- Ensuring compliance with policies, procedures, laws, and regulations governing privacy and release of information
- Balancing and coordinating medical record management/documentation to meet Federal and VA regulations, as well as goals of external accrediting bodies i.e. JCAHO, CARF, and others
- Evaluating the adequacy of each completed authorization form; screening each request for information to determine urgency and assures that most urgent requests are completed first using established priority systems
- Greeting veterans/visitors and assisting them in determining the exact nature of the request and whether the information requested can be released
- Processing all incoming requests to the facility for Release of Information (ROI) along with information required by the VA Regional Office through the Automated Medical Information Exchange (AMIE), referring only problem cases to the Supervisor
- Providing advisory and technical assistance to patients, administrative staff and professional staff regarding release of information
- Searching records or files to compose responses, including electronic searches to retrieve and summarize hard-to-locate data
- Resolving conflicting or inconsistent information found on initial requests; this involves dealing with patients and/or third parties to resolve discrepancies, sorting out errors and reconstructing past transactions, cases or events, or finding alternative sources of information
- Replying to vague, incomplete, or ambiguous inquires by independently recognizing issues, topics or problems; inquiries are usually presented by patients or third parties who are not sure what information they are looking for or do not know how to identify it by title

Monday - Friday, 8:00 a.m.

Note:
Work schedules are determined and approved by the supervisor. The incumbent may be required to work various shifts on a permanent or temporary basis based on facility/patient care needs).
Pay:
Competitive salary and regular salary increases
Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year) Selected applicants may qualify for credit toward annual leave accrual, based on prior [work experience] or military service experience.
Parental Leave:
After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child.
Child Care Subsidy:
After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66

Traditional federal pension (5 years vesting) and federal 401K with up to 5% in contributions by VA
