Position OverviewThe Payroll/Benefits Coordinator is the frontline of support for our faculty and staff, handling the day-to‑day administrative operations of the Payroll/Benefits department. This role is highly transactional and detail‑oriented, requiring a professional who can gracefully manage employee inquiries, oversee time‑entry compliance in Paylocity, administer benefits, and ensure every new hire is properly onboarded and cleared to work in a school environment.
Key Responsibilities Employee Support & Administration- First Point of Contact:
Monitor and manage the primary HR inbox, serving as the first line of support for daily employee inquiries regarding policies, benefits, and general HR matters. - Benefits Management:
Administer employee benefit programs, including health insurance and 401k plans. Assist staff with enrollment, qualifying life events, and general benefits questions. - Audit Assistance:
Play a key supportive role in annual HR and financial compliance requirements, specifically gathering and organizing data for the annual 401k audit and workers' compensation audits.
- Time & Attendance:
Oversee the time‑entry process across the organization using Paylocity. Ensure all hourly employees submit timesheets accurately and managers approve them on time. - Payroll Processing:
Process payroll on a bi‑weekly cadence, ensuring all data in the payroll system (hours worked, PTO taken, deduction updates) is 100% accurate.
- School Compliance:
Manage the rigorous background check and fingerprinting process required for all school personnel. Ensure all state and local compliance standards are met before an employee’s first day. - Onboarding:
Facilitate the new hire onboarding experience, ensuring all necessary employment paperwork, I-9s, and tax forms are completed and filed accurately. - Recruiting Assistance:
Provide administrative support to the recruiting lead by helping to post job descriptions, organize applicant tracking, and coordinate interview schedules as needed.
- Education:
Bachelor’s degree in Human Resources, Business Administration, or a related field. - Experience:
1‑3 years of Payroll and Benefit experience. Prior experience in an educational setting is highly preferred but not required. - Systems Proficiency:
Experience with HRIS platforms is required; hands‑on experience with Paylocity is a major plus. - Discretion & Detail:
Exceptional attention to detail and a proven ability to handle highly sensitive, confidential personnel information with absolute discretion. - Communication:
Strong written and verbal communication skills, with a customer‑service mindset toward supporting staff. - Mission Alignment: A strong resonance with True North’s classical education mission and core values.
