Administrative Assistant
An opportunity is available for an Administrative Assistant/Coordinator to provide administrative and operational support to the Vice President of Human Resources. This individual will serve as a partner to HR leadership, managing calendars, coordinating meetings and travel, and handling confidential information. The ideal candidate has prior experience supporting HR teams or executives, thrives in a fast-paced environment, and possesses organizational skills.
Key Responsibilities
- Manage the VPHR's calendar, schedule meetings, and coordinate travel arrangements.
- Serve as the primary point of contact for internal and external communications.
- Track and process expense reports for the VPHR.
- Prepare, edit, and distribute documents, reports, and presentations.
- Coordinate meetings, including agenda preparation, minute-taking, and follow-ups.
- Assist with planning and execution of HR projects and initiatives.
- Maintain and update HR databases and employee records.
- Coordinate HR-related events such as trainings, workshops, and team-building activities.
- Handle sensitive information with a high level of confidentiality.
- Support onboarding and offboarding processes as needed.
Required Qualifications
Experience:
1–3 years in an HR Coordinator, HR Assistant, Administrative Assistant, Executive Assistant, or junior-level HR Generalist role. Must have experience supporting calendars, meetings, travel, or executive schedules and handling sensitive or confidential information.
Technical
Skills:
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience with video conferencing tools such as Zoom or Microsoft Teams.
Preferred Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Experience supporting HR leaders or senior executives.
- Experience with onboarding and offboarding activities.
- Experience coordinating employee engagement programs.
- Exposure to HR systems or employee records management.
- Hospitality industry experience.
