United Way Miami, Inc. is hiring an Administrator, People & Engagement to join our team. As an Administrator, People & Engagement
, you will provide administrative and operational support across multiple People & Engagement (P&E) functions, helping to ensure the efficient delivery of human resources services and a positive employee experience. This role supports recruitment, onboarding, payroll, benefits administration, employee engagement initiatives, training coordination, records management, and general departmental operations while maintaining a high level of confidentiality and customer service.

Principal Duties and Responsibilities:

Recruitment Support:
  • Assist with recruitment activities, including updating job descriptions, job fairs, and posting open positions.
  • Screen applicants and support candidate sourcing efforts, including scheduling phone screenings, interviews, and other recruitment-related meetings.
  • Assist with pre-employment and onboarding processes by preparing onboarding materials/welcome packets for new hires and assist them with the online onboarding process, initiate assessments, send out new hire checkpoints and new hire surveys.
Payroll Support:
  • Assist employees and supervisors with timekeeping and attendance-related questions.
  • Support payroll processing activities and payroll cycle closeout.
  • Review and generate monthly Paylocity reports.
  • Maintain payroll-related records and assist with payroll audits, as needed.
Benefits Administration Support:
  • Provide administrative support for employee benefits programs.
  • Assist with benefits enrollment, changes, and employee inquiries.
  • Perform monthly benefits and billing reconciliations.
  • Assist with benefits-related communications and documentation.

Training & Development Support: Assist in coordinating training sessions and workshops for employees. Maintain employee training records and certifications. Support organizational learning and development initiatives.

General Administrative Support:
  • Provide administrative assistance, such as submitting departmental P&E P-Card expenses, coordinating meetings and calendars; preparing reports, mailings, and materials; supply requests and orders; preparing agendas, sign-in materials, and presentations as needed for all P&E meetings, and other general administrative duties as needed.
  • Maintain People & Engagement Intranet & HRIS Portal, including P&P manual and forms.
  • Maintain online personnel files & employee profile information, as needed.
  • Maintain all employee recognition materials (such as shirts, anniversary gifts, certificates)
  • Manage employee recognition programs and assist with employee engagement and wellness events.
Requirements

Education Requirements:

Associate degree in HR or related field preferred, or equivalent experience.

Experience Requirements:

At least one year of experience in Human Resources or related office/administrative experience.

Technology Requirement:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, One Drive). Knowledge of modern web browsers.

Other Essential Knowledge/

Skills:

Typing, online filing, and proofreading skills. Must be detail-oriented and work with a high level of accuracy and confidentiality; able to multitask and prioritize a high volume of work in a fast-paced environment to meet stringent deadlines. Excellent written and oral communication, customer service skills, and time management skills required. Bilingual English/Spanish preferred.
