ResponsibilitiesThe Executive Assistant (EA) & Estate Manager role and responsibilities
We are seeking an exceptional EA & Estate Manager who will be an integral part of Guild Capital’s global administrative support team, providing essential support to Guild’s Chairman and contributing to the firm's internal operations. The EA & Estate Manager will handle a wide variety of administrative and logistical tasks for the Chairman and other executives, including but not limited to:
- Oversee day-to-day operations of one or multiple private residences, ensuring seamless, discreet, and high-quality service
- Manage household staff (housekeepers, chefs, nannies, drivers, security, groundskeepers), including hiring, training, scheduling, and performance management
- Act as primary liaison between principals and staff, maintaining strict confidentiality and professional boundaries
- Develop and manage annual household budgets; track expenses, approve invoices, and optimize vendor costs
- Coordinate property maintenance, renovations, and capital projects; manage contractors, architects, and designers
- Oversee all vendor relationships (landscaping, pool, AV/IT, security, maintenance), ensuring service standards and contract compliance
- Ensure residences are always principal-ready, including advance preparation for arrivals, events, and travel transitions
- Manage household inventories, assets, and valuables (art, wine, jewelry, vehicles, fine furnishings)
- Coordinate with family office, legal, accounting, and security teams as needed
- Oversee household systems and technology (security, smart home systems, AV, IT troubleshooting)
- Plan and execute private events and entertaining, either personally or via external planners
- Implement and maintain household policies, procedures, and service standards
- Ensure compliance with local regulations, insurance requirements, and safety protocols
- Anticipate principals’ needs and proactively solve problems with minimal disruption
- Handle sensitive matters with discretion, diplomacy, and professionalism
- Be available for flexible hours, including evenings, weekends, and travel as required
- Bachelor’s Degree required
- 1-3+ years of demonstrated experience supporting senior executives or family offices in finance, real estate, or similar corporate sectors, with a proven ability to operate in fast-paced environments
- Conversationally fluent in Spanish
- Must be based in Miami
- Exceptional organizational, interpersonal, and communication skills
- Professional, polished, and highly responsive (emails, calls, and texts addressed promptly)
- Self-starter with a “can-do” mindset and solution-oriented approach
- Calm, resourceful, and able to solve problems independently under pressure
- Adaptable to shifting priorities and willing to work outside standard business hours (including evenings and weekends)
- Solid knowledge of Google Workspace and Microsoft applications
- Ability to handle sensitive information with discretion
- Ability to travel domestically and internationally as needed
