Key Responsibilities
- Workplace Operations & Multi‑Site Management – Oversee daily operations across multiple floors and satellite locations, conduct walkthroughs, manage space planning, and coordinate with building management on property needs.
- Leadership, Client Experience & Guest Services Oversight – Maintain a premium hospitality experience, oversee reception and client‑facing areas, and provide direction to front office staff.
- Financial Management & Budget Oversight – Manage annual operating budgets, track spending, review invoices, and identify cost‑efficiency opportunities.
- Vendor, Contract & Facilities Management – Serve as primary liaison for vendors and contractors, manage SLAs, COIs, and performance, and coordinate repairs, projects, and moves.
- Employee Support, Onboarding & Culture – Coordinate onboarding across floors, support HR and events, and manage office communications.
- Safety, Security & Compliance – Oversee access control and visitor systems, conduct safety checks, and ensure compliance.
- Operational Reporting – Prepare occupancy, space utilization, and vendor reports, and maintain maintenance and expense logs.
- Special Projects – Support expansions, renovations, and office enhancements.
- Platform Knowledge and Systems – Maintain access control systems and work order systems (Building Automated Engines, Angus, FMS, Service Now, etc.).
- Bachelor’s degree preferred.
- Bilingual (English/Spanish) required.
- 5+ years’ experience in workplace, facilities, or office management.
- Ability to manage budgets and reporting.
- Strong communication and organizational skills.
- Proficiency with Microsoft Office Suite.
This position requires the physical capabilities to work in an office environment, including prolonged periods of sitting at a desk and working on a computer. The role may require lifting up to 15 pounds and working onsite 4 days per week.
