Role Description

The Project Manager, Campaigns & Operations will own the end‑to‑end project management for select campaigns and initiatives at Entreprenista, from Founders Weekend and the Entreprenista 100 awards to product launches, partnership activations, and seasonal content pushes. This is a builder role responsible for turning Click Up into the company’s single source of truth, creating systems the team actually uses, and holding every function, including leadership, accountable to the plan.

The right person is deadline‑obsessed, a proactive communicator, and thrives building order inside a fast‑scaling team.

Responsibilities
  • Campaign & Launch Project Management
    • Own the end‑to‑end project management for all major campaigns and initiatives:
      Founders Weekend, Entreprenista 100, membership product launches, partnership campaigns, and seasonal content pushes.
    • Build and manage the master campaign calendar so the full team has visibility into what’s launching, when, and who is responsible.
    • Break big initiatives into work streams, set milestones, assign owners, and track progress daily, not weekly, ensuring nothing moves without an owner.
    • Run campaign kickoffs, weekly standups, and post‑mortems. Ensure every initiative starts with a plan and ends with a debrief.
    • Flag risks early, elevate blockers immediately, and drive solutions instead of simply reporting problems.
  • Click Up Ownership & Operational Systems
    • Own and manage Entreprenista’s Click Up workspace as the single source of truth for all projects and tasks across the company.
    • Build and maintain Click Up spaces, folders, lists, views, automations, and dashboards that reflect how the team actually works.
    • Create standardized project templates for repeatable campaigns and launches to avoid reinventing the wheel.
    • Train the team on Click Up best practices, enforce adoption, and ensure tasks are updated, due dates are realistic, and statuses are current.
    • Design dashboards and reporting views that give leadership real‑time visibility into project health, team capacity, and upcoming deadlines.
    • Continuously improve the Click Up setup as the team and business evolve. Fix anything that isn’t working.
  • Cross‑Functional Coordination
    • Work across marketing, partnerships, membership, events, and growth to keep the team in sync.
    • Coordinate deliverables, handoffs, and dependencies between teams so nothing stalls waiting on another.
    • Partner with leadership to prioritize initiatives when the team is at capacity, helping to say no (or not yet) when needed.
    • Support event logistics project management for Founders Weekend and other flagship events, tracking every deliverable, vendor timeline, and internal task.
  • Deadline Accountability & Team Execution
    • Hold every team member accountable to their deadlines with proactive follow‑ups, not reactive ones.
    • Establish a culture of on‑time delivery: set realistic timelines, build in buffers, and make it clear that due dates are mandatory.
    • Send daily or weekly status updates that are clear, concise, and actionable beyond a simple task list.
    • Identify bottlenecks and recurring issues in the team’s workflow and propose permanent solutions.

As we grow, so will this role. Entreprenista is a startup, and you may be asked to work on initiatives outside your core responsibilities.

Requirements
  • Proven project management experience across multiple simultaneous projects – ideally 3–5+ years at a digital media company, agency, startup, or membership/community business. You have managed multiple complex projects at once with nothing dropping.
  • Advanced Click Up expertise. This is non‑negotiable. You have built work spaces, automations, dashboards, and templates, and managing Click Up for a team of 10+ is a plus.
  • An obsession with deadlines and the discipline to make it easy for others to hit theirs. You follow up relentlessly but respectfully, and you hold yourself to a higher standard than you hold anyone else.
Preferred
  • PMP, Scrum, or other project management certifications.
  • Experience with our broader tech stack:
    Hub Spot, Samcart, Click Up, Stripe, Klaviyo, Webflow, Circle, Slack, Zapier.
  • Background in event production or event project management.
  • Experience building SOPs and operational documentation from scratch.
  • Familiarity with AI‑powered project management tools and workflow automations.
  • Passion for supporting women entrepreneurs and founders.
