The Shipping Coordinator is responsible for managing and executing all outbound shipping activities from the manufacturing facility. This role ensures that all shipments, domestic and international—are prepared, packaged, documented, and dispatched accurately and on time, while complying with aviation industry regulations (FAA, AS9100, ITAR, DOT, IATA). The Shipping Coordinator works closely with the production, purchasing, and quality teams to meet customer delivery requirements and maintain full traceability of all shipped products and parts.
Responsibilities- Prepare and process outgoing shipments including generating shipping labels, packing slips, commercial invoices, and export documentation.
- Ensure proper packaging, labeling, and handling of all shipments according to customer, regulatory, and internal specifications.
- Prioritize and expedite critical shipments such as AOG (Aircraft on Ground) orders.
- Review and verify shipping documentation for accuracy, including part numbers, quantities, and certifications (e.g., COCs, test reports).
- Enter shipment details into Quantum.
- Compose Dangerous Goods Declaration (when applicable).
- Process shipment labels with use of Fed Ex or UPS power ship stations or Transportation Management Systems (TMS).
- Complete AWB or BOL when applicable.
- Maintain accurate records of all shipments, including traceability and export control documents.
- Schedule pickups and coordinate logistics with freight carriers, forwarders, and couriers (e.g., Fed Ex, UPS, DHL).
- Track and trace shipments to confirm delivery and proactively resolve shipping delays or issues.
- Work to ensure professional and co‑operative working relationships within our own department and with other departments across the company.
- Support the shipping team in the physical preparation of packages, as needed.
- Cover other team members as required by business needs.
- Process shipments and inventory transactions in the ERP system (e.g., Quantum, SAP).
- High school diploma or equivalent required; associate degree or training in logistics/supply chain is a plus.
- 2+ years of experience in a shipping or logistics role, preferably in aviation, aerospace, or manufacturing environment.
- Familiarity with FAA, AS9100, and ITAR shipping regulations.
- Proficiency in ERP/MRP systems (e.g., Quantum, SAP) and Microsoft Office (Excel, Outlook).
- Excellent interpersonal skills in both oral and written form.
- Professional appearance and attitude.
- Ability to exercise sound judgement and decision‑making skills.
- Keyboarding/computer skills necessary.
- Proficient in Microsoft Windows applications (Excel, Word, Outlook, etc.).
- Able to attain and maintain IATA (ICAO) and CFR
49 Hazmat/Dangerous Goods transportation certification.
- Forklift Certification (OSHA compliant).
- DOT/IATA Hazmat Shipping/Receiving Awareness.
- All employees must be familiar with AS9100 standard.
- All employees must be familiar with the ISO
14001 standard. - All employees must be familiar with the standards, policies and procedures pertaining to their position.
- Must be able to lift to 50 pounds at times.
- Must be able to reach at or below shoulder level, reach overhead, push or pull, lift or carry, and kneel at times.
