The Returns Coordinator oversees all fabric returns operations at Nuage Designs, focusing on managing customer textile returns. This role ensures that all customer return orders are sorted and verified, determining if items are in good condition or if they need to be disposed of. Products in good condition are transferred to the laundry department, while damaged or unusable items are documented and disposed of properly.
The Receiving Team Leader manages a team and ensures efficient and accurate handling of all returns.
Key features include, but are not limited to, the following:
- Supervise and lead the receiving team in processing all textile returns, ensuring that returned items are accurately sorted and verified.
- Inspect returned products to determine their condition and decide if they are suitable for transfer to the laundry department or if they need to be documented for disposal.
- Ensure proper documentation of damaged or unusable items and manage their disposal safely and efficiently.
- Coordinate the daily receiving schedule, assigning tasks to team members and ensuring deadlines for returns processing are met.
- Maintain accurate records of all returned items, including their condition, quantities, and subsequent actions (transfer to laundry or disposal).
- Collaborate with the laundry department to ensure a smooth transfer of textiles that are approved for cleaning and reuse.
- Train and guide front desk team members, ensuring they follow best practices, safety protocols, and company policies.
- Resolve any issues related to return orders, such as discrepancies or customer complaints, and work with relevant teams to fix them.
- Ensure that the reception area is clean, organized and complies with all safety regulations.
- Help improve returns processing workflows to increase efficiency and reduce errors.
- Send out daily reminders for client return orders that need to be returned that day.
- Ensure that all of the scheduled courier pickups from the previous day were successful and re-schedule any that were not.
- Daily management of inbound order returns, including printing expected returns for the day and tracking shipments of orders not received on time.
- Manage detailed information regarding items that are missing or damaged from a returned order.
- Liaise directly with clients regarding returns that are behind schedule, returns that are missing items, or returns that were received with damaged items.
- Issue and collect payment on invoices for items missing or damaged from a returned order.
- Input accurate information regarding missing/lost or damaged items into the company wide inventory management system to maintain real-time inventory accuracy.
- Coordinate for rush turnaround of incoming items with other departments.
- Assist clients with additional return materials and rescheduling pickups.
- Take on any other special projects and requests as needed.

Language Ability- Strong verbal and written communication skills to give clear instructions and communicate with other departments and providers.
- Ability to read and follow purchase orders, storage instructions, and safety procedures.
- Bilingual in English and Spanish essential.
- Basic knowledge of Microsoft Office and inventory management systems (WMS/ERP) for returns tracking and stock management.
- Strong problem-solving skills and addressing and fixing issues related to customer returns.

Education/Experience- High school diploma or equivalent;
Additional training in warehouse management or logistics will be valued. - 1-2 years of experience in receiving or warehouse operations, with prior experience in a leadership or supervisory position.
- Knowledge of returns processing and inventory management.
- Ability to work in a dynamic environment and meet tight deadlines.
- Familiarity with the safe use of forklifts and other material handling equipment is a plus.
- Ability to lift heavy objects (up to 50 lbs) and perform physical labor for long periods of time.
The work environment may include handling heavy furniture and textiles in indoor and outdoor areas.
