The Indiana State Prison is a maximum-security correctional facility for adult males. It is located in Michigan City, Indiana, on 100 acres and is the oldest correctional facility in operation for the Department of Correction.
Role OverviewThe Clerical Assistant position within the Administrative Services Department, Legal Division at Indiana State Prison is a critical role reporting directly to the Program Director for Legal Services. This position is responsible for scheduling attorney visits, legal calls, and coordinating approximately half of the facility's court hearings, including Federal, State, and Department of Child Services proceedings. Additionally, the Clerical Assistant supports litigation by gathering and copying documents for lawsuits, which is urgent in a maximum-security environment where incarcerated individuals file legal claims.
SalaryStatement
The salary for this position traditionally starts at $27,638.00 but may be commensurate with education or work experience.
A Day in the LifeThe essential functions of this role are as follows:
- Supports the daily operations of an organization by performing general office tasks
- Greets visitors and directs them to the appropriate person according to their needs
- Answers telephones and provides information to callers, takes messages, or transfers calls to appropriate individuals
- Opens, sorts, and routes incoming mail and correspondence, and prepares outgoing mail
- Operates office machines, such as photocopiers and scanners, facsimile machines, voicemail systems, and personal computers
- Accurately maintains and organizes office files
- Delivers messages and runs errands
- Maintains inventory, orders, and distributes supplies
- Completes tasks or projects assigned by supervisor in a timely manner

What You'll Need for SuccessThe ideal candidate should minimally have a High School Diploma or equivalent.

- Working knowledge of general office functions and clerical procedures
- Basic computer skills
- Active listening skills
- Effective written and verbal communication skills
- Organizational skills with the ability to prioritize tasks
- Attention to detail and proofreading skills
- Ability to use Microsoft Office Suite (Word, Excel, Outlook)
- Ability to work with sensitive documents and information and be privy to sensitive agency information without divulging information to internal or external parties
- Ability to work independently
- Ability to provide effective and professional customer service to internal and external parties
- Able to perform essential functions with or without reasonable accommodation
