Our client is looking for an organized Executive Assistant to support senior leadership within a mission-driven nonprofit in Indiana. This position plays a central role in keeping executive operations, board activities, and key administrative functions running smoothly while allowing leadership to stay focused on organizational priorities. The ideal candidate is resourceful, highly discreet, and confident managing complex schedules, formal communications, meeting coordination, and office-related matters in a detail-focused environment.
This position is 100% on-site with occasional travel to company facilities within NW Indiana.

Salary: $50,000-$60,000 DOE
Responsibilities:
- Coordinate executive and leadership calendars, arrange meetings, and organize travel plans to ensure efficient daily operations.
- Develop agendas, capture accurate meeting notes, and track follow-up items so priorities move forward on schedule.
- Prepare, edit, and distribute clear correspondence, reports, presentations, and other executive materials with strong attention to detail.
- Maintain board and committee records, support governance-related documentation, and help ensure required certifications and submissions are completed on time.
- Serve as a key point of contact for leaders, board members, staff, vendors, and external partners.
- Assist during monitoring or compliance reviews by gathering documentation and responding to administrative requests as needed.
- Review materials for accuracy, consistency, and overall quality before circulation or submission.
- Support office operations by ordering supplies and coordinating administrative needs across designated locations.
- Oversee facilities-related communication by tracking maintenance requests, reviewing invoices, coordinating vendors, and helping manage repairs, lease activity, and office moves.

Requirements - At least 3 years of experience in an executive assistant, administrative support, or a closely related role.
- Strong ability to manage calendars, meeting logistics, travel arrangements, and executive priorities in a fast-paced setting.
- Demonstrated skill in drafting formal business correspondence and preparing documents for in-person, electronic, and virtual distribution.
- Proficiency with Microsoft Office and Microsoft 365, along with the ability to coordinate and support virtual meetings on common online platforms.
- Excellent written and verbal communication skills, including strong grammar, punctuation, and attention to detail in presentation.
- Ability to handle confidential information with sound judgment, discretion, and care.
- Strong organizational, problem-solving, and recordkeeping skills, with the ability to work independently and meet firm deadlines.
- Associate or bachelor's degree in business, communications, or a related field preferred; equivalent experience will also be considered. Talent Match®
