The Vicksburg Community School District is a K-12 district in south central Kalamazoo County. Our district serves over 2,600 throughout our one high school, one middle school and three elementary schools, employing approximately 175 teachers and 200 other employees to support the needs of our students. We encompass over 110 square miles of rural, suburban, and small town geography including the villages of Vicksburg and Fulton, and of eight townships.
The District boasts fourteen lakes, which creates a unique style of suburban living. Our residents enjoy all the advantages of a small town with a major metropolitan area just a few miles north. The school district takes pride in being a high achieving district.
We are seeking a dedicated and passionate individual to join our team as a Business Office Manager. The Business Office Manager is responsible for ensuring the accurate and efficient coordination of daily financial operations of the Vicksburg school district. Working closely with the Assistant Superintendent and Berrien ISD, the Business Office Manager will oversee cash management, accounts payable and receivable, payroll, and grant reporting, prepare monthly financial statements, state reports, budget development, amendment and monitoring, and serve as the primary contact for audit communications during the annual financial audit.
Responsibilities- Manage daily financial operations.
- Oversee banking activities including cash management, wire and ACH transfers, and monthly bank reconciliations.
- Review and approve accounts payable, purchase orders, payroll, and credit card transactions.
- Create and approve manual journal entries.
- Manage month and year end financial statements.
- Record and reconcile tax and investment revenues.
- Record, reconcile and deposit all receipts for district funds.
- Ensure proper accounting policies, procedures and internal controls are maintained and reviewed for improvements.
- Coordinate purchasing activities in a manner that follows district, state and federal guidelines.
- Maintaining chart of accounts in accordance with the Michigan School Accounting Manual.
- Support the Assistant Superintendent with accurate financial reporting and compliance.
- Prepare monthly financial statements, state reports (SE4096, SE4094, FID), and other required financial submissions.
- Prepare audit schedules and serve as the primary contact during the annual financial audit.
- Support grant accounting, including preparation, submission, drawdown requests and reporting state, federal and local grants.
- Serve as a knowledgeable and accessible resource for district staff on financial processes and procedures
- Communicate and interpret business office procedures, accounting requirements, and financial policies to building and department staff.
- Respond to staff inquiries regarding expenditure coding, purchase orders, invoice status, payroll, and other routine financial matters
- Provide guidance to staff on allowable expenditures under grants and other restricted funds.
- Assist in strategic planning for future growth, including identifying and allocating resources for various school initiatives.
- Assist in the creation and maintenance of the district’s business office procedures to reflect current practices and policy requirements.
- Direct the day-to-day activities of the business office staff.
- Supervise, support and evaluate the Payroll & Accounting Specialist.
- Work collaboratively with Berrien ISD to ensure accurate processing of accounts payable.
- Assign work, establish priorities and monitor the timeliness and accuracy of work of staff.
- Provide coaching, training and professional development support to staff.
- Identify and address gaps or inefficiencies in the business office; recommend and implement process improvements.
- Ensure appropriate backup coverage and cross-training across business office staff.
- Other related duties as assigned by the Superintendent and Assistant Superintendent.
