Role Summary
We’re a growing small business (typically 17–20 employees) looking for a dependable, high‑trust office administrator to support day‑to‑day accounting operations and help keep the business running smoothly.
This role owns the bookkeeping and administrative rhythm of the company—ensuring books are clean, deadlines are never surprises, and operational details don’t distract leadership or revenue‑producing team members.
The foundation of this role is maintaining clean, accurate books and dependable administrative operations. All other responsibilities build on that foundation.
The bookkeeping workload is steady and typically requires about 20 hours per week

, with remaining time used to support the team, improve simple systems, coordinate logistics, and remove friction from daily work.

Key Responsibilities
Accounting & Bookkeeping Support- Review and code transactions
- Ensure receipt compliance
- Manage AP intake, scheduling, and payment
- Handle AR follow‑up and past‑due reminders
- Complete monthly bank and credit card reconciliations
- Support clean month‑end close and CPA requests
- Support payroll processing and related entries
- Coordinate 401(k) contributions
- Assist with quarterly and annual tax preparation needs
- Maintain a clear calendar of financial and compliance deadlines
- Manage mail, deposits, and check handling
- Maintain organized digital and physical records
- Support onboarding logistics and benefits administration as needed
- Manage office and supply needs
- Help coordinate travel, meetings, and conferences
- Assist with events and conventions using checklists and early planning
- Communicate with vendors, employees, and external partners
