Position Summary
The Administrative Assistant to the Superintendent serves as a key liaison connecting students, staff, administrators, the Board of Education, and the community. This position requires exceptional judgment, strict confidentiality, and a commitment to delivering outstanding customer service. The ideal candidate provides high-level administrative and secretarial support to the Superintendent and Board, manages sensitive communications, and takes initiative in advancing the district's mission of excellence for every student.

Qualifications/Requirements
• High School diploma required. Associate degree or higher preferred.
• Notary Public certification required, or willingness and ability to obtain upon hire.
• Three (3) or more years of advanced secretarial or executive administrative experience with significant public-facing responsibilities.
• Experience in a public school district office strongly preferred.
• Completion of a skills assessment may be required as part of the selection process.
Knowledge, Skills and Abilities
• Proficiency with Google Workspace and Microsoft Office Suite, and the ability to learn district-specific software.
• Excellent written and verbal communication skills; ability to draft professional correspondence independently.
• Strong interpersonal skills and the ability to interact effectively with staff, Board members, students, parents, community members, and state agencies in a courteous and professional manner.
• Ability to handle sensitive and confidential matters with discretion and sound judgment.
• Highly organized with the ability to manage multiple priorities, meet tight deadlines, and maintain focus amid frequent interruptions.
• Analytical ability to evaluate complex situations, define problems, and determine appropriate courses of action without direct supervisor approval.
• Knowledge of state and federal reporting requirements applicable to Michigan public schools.
• Ability to communicate effectively with both technical and non-technical audiences at all organizational levels.
• Self-motivated, detail-oriented, and committed to continuous professional growth.
• Ability to establish and maintain positive, collaborative working relationships across the organization.
Duties and Responsibilities
Communication & Liaison
• Serve as the primary liaison between the Superintendent and internal/external stakeholders, including staff, administrators, Board members, legal counsel, and the public-maintaining strict confidentiality at all times.
• Screen, prioritize, and respond to inquiries on behalf of the Superintendent via phone, email, written correspondence, and in-person visits.
• Review, draft, and manage the Superintendent's communications; maintain logs to track delegated matters and ensure timely follow-up.
• Gather, evaluate, and relay sensitive information from a wide range of sources including Board members, school administrators, attorneys and external partners.
• Read, summarize, and present materials to keep the Superintendent informed of relevant developments and issues.
• Interpret and communicate district policies, protocols, and administrative procedures; work with the Superintendent and legal counsel to revise and update policies for Board approval and publication.
• Compose, proof, and finalize a variety of professional documents including draft correspondence, reports, memoranda, and forms on behalf of the Superintendent, ensuring accuracy, clarity, and alignment with district standards.
Calendar & Administrative Management
• Manage the Superintendent's calendar with attention to equitable scheduling, competing priorities, and strategic time management.
• Coordinate travel arrangements for Board members and administrators, including hotel reservations and conference registrations.
• Attend meetings on behalf of the Superintendent as assigned to gather and relay key information.
• Process and submit credit card expense reports and receipts for the Superintendent and Curriculum Director to the Finance Department, ensuring accuracy, proper documentation, and compliance with district purchasing policies.
