Job Description
The Department Assistant will keep departmental operations running like a well-oiled machine by performing a variety of administrative and secretarial tasks, including:
- Keep things running smoothly by handling general secretarial and administrative duties that support department operations and staff
- Be the communication hub by managing department correspondence, emails, and communications in a timely and professional manner
- Keep our filing systems in tip-top shape by maintaining organized records in both physical and digital formats
- Master the art of scheduling and calendar coordination by arranging appointments and meetings for department personnel
- Polish and perfect documents, reports, and presentations by preparing, formatting, and proofreading them to excellence
- Be the friendly face and voice of the department by answering phones, greeting visitors, and directing inquiries to the right team members
- Keep our finances flowing by processing invoices, expense reports, and other financial documentation
- Keep our data organized and accurate by assisting with data entry, database maintenance, and record keeping
- Keep the office stocked and ready to go by monitoring and maintaining office supplies inventory and placing orders as needed
- Jump in and help the team succeed by supporting department staff with special projects and ad-hoc tasks that ensure smooth departmental functioning
- High School Diploma or GED
- Minimum of 3 years secretarial and/or office experience required
