Position Summary

The Administrative Assistant is responsible for performing a variety of duties and reports to the Dean of the School of Arts, Science and Business. This position works part time, up to 28 hours per week.

Required Qualifications
  • Associate degree in subject from an accredited college or university
  • Any combination or equivalent of degree requirement, and or three years of related clerical experience involving frequent public contact
Preferred Qualifications
  • Knowledge of modern office practices, procedures and equipment
  • Experience with Banner and Crystal reports
Essential Duties and Responsibilities
  • Overall clerical duties in the department, including answering phone inquiries, greeting campus community and visitors, and data entry.
  • Communicate consistent and timely information with tact and diplomacy, including the ability to understand and follow oral and written directions.
  • Greet campus community members and visitors by phone and walk‑in, and direct them to the proper area of the college if needed.
  • Serve as initial contact with faculty and students wishing to see the Department Supervisor.
  • Conduct research and prepare reports for supervisors; assist other departments with projects on an as‑needed basis.
  • Prepare letters, memos, reports and other correspondence for internal and external communication.
  • Coordinate all department mailings, file documents, and create necessary files for the department.
  • Maintain accurate keyboard skills and proficiency with Microsoft Office.
  • Schedule and cancel meetings using Google Calendar.
  • Process invoices and expense reports for the School of Arts, Science and Business; multitask and perform duties with minimal supervision in a fast‑paced, demanding environment with constant interruptions.

      Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.
    • G. Pushing:
      Using upper extremities to press against something with steady force to thrust forward, downward or outward.
    • H. Hand and Finger Coordination:
      Performing tasks requiring coordinated hand and finger movements, including typing, keyboarding, picking, pinching, and handling small objects.
    • I. Grasping:
      Applying pressure to an object with the fingers and palm.
    • J. Talking:
      Expressing or exchanging ideas by means of the spoken word.
    • K. Hearing:
      Perceiving the nature of sounds at normal speaking levels with or without correction; receiving detailed information through oral communication.
  • The physical requirements of this position Sedentary work involving sitting most of the time; excerting up to 10 pounds of force occasionally and/or negligible force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
  • The visual acuity requirements including color, depth perception, and field vision The employee is required to have close visual acuity to perform activities such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; and extensive reading.
