SUMMARYThe Administrative Assistant to the Superintendent and the Board of Education is a non‑bargaining unit position with specific clerical responsibilities including handling confidential business items, records, and correspondence of the Board of Education and its central administrators. As Administrative Assistant, coordinate and maintain effective office procedures. Support the superintendent in areas related to Board policy and administrative guidelines, and coordination and management of all services of the superintendents’ office.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Preparing, processing, and maintaining minutes, postings, and records of Board meetings.
- Prepare agendas and other materials for Board of Education meetings.
- Consistently promotes fairness, respect, and multiple perspectives in all responsibilities.
- Disseminates Board meeting agenda and background material to appropriate administrators, association officers and members of the media.
- Responsible for Board meeting preparations including room and table set up.
- Assists with compliance for Open Meetings Act and Robert’s Rules of Order.
- Serves as recording secretary for the Board with responsibility for transcription and distribution.
- Serves as the district's election coordinator.
- Coordinates Professional Development and travel for the Board of Education and Superintendent.
- Prepares correspondence outlined by the Superintendent.
- Composes correspondence within the scope of authority for Superintendent’s signature.
- Maintains files in the Superintendent's office.
- Answers district phones.
- Serves as receptionist.
- Orders supplies for Central Office.
- Organizes and processes non‑resident school of choice applications.
- Assist the superintendent or designee in the development, review and implementation of Board Policy and Administrative Guidelines.
- Manage a system for scheduling use of the meeting rooms.
- Arrange for amenities, refreshments, and lunches as may be needed in the conduct of central office and Board of Education business.
- Manage the budget for the Office of the Superintendent.
- Manage the process related to Administrative Discipline Hearings for students.
- Keep in confidence all personal, student or personnel records and information.
- Participates in district and school initiatives, adheres to building and district school improvement plans.
- Adheres to, interprets and implements all district policies, administrative guidelines and procedures.
- Conducts behavior to demonstrate collegiality and professionalism.
- Regular and reliable attendance is an essential job function.
- Performs other duties as assigned by the Superintendent/Designee.
- Position does not include supervisory responsibilities.

EDUCATION AND/OR EXPERIENCE- High School Diploma or equivalent.
- High level of ethical behavior and professionalism.
- Ability to utilize effective human relations and communications skills in working with people.
- Knowledge of governmental and legal functions of school systems.
- Ability to handle crisis situations in a calm and positive manner.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
- Applicants must satisfactorily pass a criminal background check as defined by the State of Michigan.
- Ability to effectively present information and respond to questions from all stakeholders.
