Virtual Academy & Homeschool Programs Administrative Assistant

Qualifications:

  • High school diploma required;
    Associate Degree preferred.
  • Minimum of two (2) years of administrative office experience; experience in a school setting preferred.
  • Demonstrated proficiency with Microsoft Office, Google Workspace, student information systems (Power School preferred), and other educational technology platforms.
  • Ability to maintain confidential student records and comply with FERPA requirements.
  • Excellent organizational, customer service, written, and verbal communication skills.
  • Ability to prioritize multiple projects, meet deadlines, and effectively manage frequent interruptions.
  • Ability to work independently while collaborating effectively with administrators, teachers, parents, and outside agencies.
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

    Director of Virtual Academy and Homeschool Partnership Programs

    Job Goal:

    To provide comprehensive administrative, enrollment, student records, and operational support for the Virtual Academy, Homeschool Partnership, and Book Shark programs while ensuring compliance with state reporting requirements and providing outstanding customer service to students, families, and staff.

    Essential Responsibilities:

    • Coordinate student enrollment, registration, withdrawals, transfers, and scheduling for the Virtual Academy, Homeschool Partnership, and Book Shark programs.
    • Maintain accurate student records and cumulative files (CA-60s) while ensuring compliance with FERPA, Michigan Department of Education requirements, and district policies.
    • Manage student information within Power School, including enrollment, attendance, scheduling, grades, transcripts, course assignments, and demographic information.
    • Prepare, verify, and maintain Count Day, Count Month, TSDL, pupil accounting, and other state reporting documentation to ensure compliance and maximize district funding.
    • Assist with state audits and maintain documentation required for pupil accounting and state reporting.
    • Monitor student academic progress, graduation requirements, transcript accuracy, and credit tracking under the direction of administration.
    • Serve as the primary point of contact for students, families, and staff by providing exceptional customer service and support regarding enrollment, student records, program requirements, and educational technology.
    • Coordinate student attendance, discipline, health records, medication administration, immunization compliance (MCIR), and required parent communications.
    • Coordinate district, state, and local assessment activities, including testing logistics, communications, materials, and reporting support.
    • Manage the distribution, inventory, collection, and maintenance of Chromebooks, MiFi devices, curriculum materials, and other district-issued instructional resources.
    • Coordinate school events, orientations, emergency drills, calendars, meetings, and other program activities in support of the Virtual Academy and Homeschool Partnership programs.
    • Prepare purchase requisitions, assist with budget planning, maintain inventories, and support the day-to-day operations of the office.
    • Prepare reports, correspondence, newsletters, automated communications, spreadsheets, and other program documentation while maintaining a high degree of accuracy and confidentiality.
    • Participate in professional development related to Power School, state reporting, pupil accounting, and district software systems.
    • Maintain confidentiality of all student and employee information in accordance with FERPA and district policies.
    • Perform other duties as assigned by the Director.

    Physical Requirements:

    • Ability to sit or stand for extended periods.
    • Ability to lift and move boxes or equipment weighing up to 30 pounds.
    • Ability to operate standard office equipment.
    • Frequent use of computers and educational software systems.

    Start Date:

    August 6, 2026

    Hours:

    35-40 Hours per week

    Pay: $17.82 - $21.80 based on experience
