Reed City High School Registrar

Reports To: High School Principal
Classification: Full-Time, School-Year

Position Summary

The High School Registrar is responsible for maintaining accurate student records, coordinating enrollment and withdrawal procedures, managing transcripts and graduation records, student scheduling processes, and ensuring compliance with district, state, and federal reporting requirements. The registrar serves as the primary resource for student records and scheduling while providing excellent customer service to students, families, and staff.

Essential Duties and Responsibilities Student Records
  • Maintain accurate and confidential cumulative records for all students.
  • Process student enrollments, transfers, and withdrawals.
  • Maintain official transcripts and permanent student records.
  • Verify student demographic information and update records as needed.
  • Ensure compliance with FERPA and district confidentiality policies.
  • Process records requests from schools, colleges, employers, military recruiters, and authorized agencies.
Enrollment
  • Register new students and assist families with enrollment requirements.
  • Verify residency and required enrollment documentation.
  • Coordinate transfer records with sending and receiving schools.
  • Maintain enrollment statistics and reports.
Scheduling
  • Assist administration/counselor in Master Scheduling Development.
  • Student scheduling and course changes.
  • Enter and maintain course schedules within the student information system.
  • Monitor student credit accumulation and graduation requirements.
  • Support schedule changes throughout the school year.
Graduation
  • Maintain accurate graduation requirement records.
  • Audit student transcripts for graduation eligibility.
  • Prepare graduation lists and verify diploma eligibility.
  • Assist with diploma ordering and distribution.
Student Information System
  • Maintain accurate data within the district's student information system.
  • Generate transcripts, report cards, class rank, GPA, and other student reports.
  • Ensure data integrity for state reporting.
  • Assist with state and district audits.
Testing and Reporting
  • Assist with student data needed for state assessments.
  • Prepare reports required by the district and the state.
  • Support data verification for accountability reporting.
Office Support
  • Serve as the primary contact regarding student records.
  • Respond to parent, student, and staff inquiries.
  • Assist administrators with student information.
  • Collaborate with attendance, athletics, special education, and other departments.
  • Clerical support related to student records.
Compliance
  • Ensure compliance with district policies and state and federal regulations.
  • Maintain confidentiality of all student records.
  • Follow records retention schedules and archival procedures.
Qualifications
  • High school diploma required; associate or bachelor's degree preferred.
  • Experience working in a school office or registrar's office preferred.
  • Knowledge of student information systems (Skyward) preferred.
  • Strong organizational and time-management skills.
  • Excellent communication and customer service skills.
  • High level of accuracy and attention to detail.
  • Ability to maintain confidentiality and manage multiple priorities.
  • Proficiency with Google Workspace.
Preferred Skills
  • Knowledge of graduation requirements and transcript evaluation.
  • Familiarity with state student reporting requirements.
  • Experience working with student scheduling.
  • Ability to work collaboratively with students, parents, counselors, administrators, and staff.
