PositionSummary
The Operations & Logistics Specialist performs clerical and technical support for operations and receiving activities. The role maintains frequent communication between the warehouse, project managers, and sales team to ensure quality and schedules are met, communicates risks and changes to Project Managers or Fabricators, and conducts the administrative receiving function of purchase orders, including data entry and document scanning.
Key Responsibilities- Execute the receiving function of purchase orders in the ERP system.
- Execute the delivery of goods from inventory to sales orders and projects in the ERP system.
- Enter customer orders in the ERP system.
- Provide daily communication to AM and PM team on status of orders.
- Work closely with the warehouse on potential issues and communicate to the team.
- Coordinate delivery logistics and expedite purchase orders as needed.
- Obtain shipping documents from vendors on direct ship purchase orders.
- Coding and approving freight invoices in the ERP workflow.
- Coordinate the communication and distribution of shipping documents as required.
- Scan documentation to SharePoint.
- Perform general clerical duties; data entry, answer telephones, maintain files, and scan documentation.
- Backup order entry, as needed.
- Run reports along with monthly tracking spreadsheets.
- Other job duties as assigned.
- High school diploma required.
- 2‑5 years of experience in operations/logistics within a manufacturing organization in an order or make‑to‑order ERP/MRP driven environment.
- Strong interpersonal skills.
- Ability to handle numerous technical, commercial, and administrative tasks.
- Strong attention to detail and time‑management skills.
- Microsoft Office proficiency with an emphasis on Excel.
- Solid judgment, decision‑making skills, and leadership capabilities.
- Highly motivated, self‑directed, and customer‑service oriented.
- Excellent analytical skills with the ability to manage multiple projects.
- Exceptional negotiation skills.
The ability to travel when necessary.
