The Newaygo County Administration Office is seeking a professional to fill the Executive Administrative Assistant position. The selected candidate provides high-level administrative support to seven members of the Board of Commissioners, the County Administrator, and the Deputy County Administrator by managing calendars, coordinating meetings, providing effective communication, and managing daily logistics to ensure meetings and schedules run smoothly. Another major role of the Executive Administrative Assistant’s position is processing and coordinating responses for Freedom of Information Act (FOIA) requests.

The Administration Office has a strong, cohesive team of ten individuals who are service-oriented and dedicated to helping the team efficiently operate the organization. The ideal candidate will bring excellent professional, organizational, and communication skills and a strong work ethic to this role.

Responsibilities
  • Provides confidential administrative support to the County Administrator, Deputy Administrator and Board of Commissioners; prepares correspondence, conducts research projects, coordinates events, and maintains files/documents; serves as point of contact for each and may respond to public inquiries on their behalf.
  • Prepares agendas for various Board of Commissioners committee meetings; coordinates with County staff and departments to collect pertinent information, assembles meeting packets, distributes packets to commissioners, elected officials, department heads, and stakeholders, and creates media‑acceptable versions of meeting packets.
  • Processes FOIA requests in accordance with state law; coordinates all aspects of compiling and researching requested information, prepares the County’s response, and corresponds with the requested party.
  • Maintains appointment schedules for the County Administrator, Deputy Administrator, and Commissioners; assists with travel arrangements including reservations, scheduling County vehicles, and completing reimbursement travel vouchers.
  • Maintains oversight of contractual agreements entered into by the Board of Commissioners or the County Administrator; ensures contracts are up‑to‑date and effectively managed throughout their term.
  • Updates and maintains content on the County’s website pages administered by the Administration Office and the Board of Commissioners; monitors website performance and user experience, proactively identifying and correcting outdated information, broken links, or formatting issues.
  • Assists with Medical Examiner case oversight and coordinates the annual Child Death Review meetings.
  • Performs other duties as assigned by the County Administrator.
  • Education

    High school graduation or equivalent is required. Associate’s degree is preferred.

    Experience

    Two years of progressively more responsible experience serving in an administrative support role.

    • Demonstrated ability to effectively manage multiple priorities, deadlines, and interruptions while maintaining a high level of professionalism.
    • Working knowledge of the structure of Michigan state and local governments.
