We are seeking a highly organized and detail-oriented Office Administrator to oversee the day-to-day operations of our New Jersey office. This role is responsible for ensuring smooth office administration, maintaining compliance with company policies and regulatory requirements, coordinating facilities, supporting employees, and serving as the primary point of contact for office-related operations.
Key Responsibilities Office Administration- Manage the daily operations of the New Jersey office.
- Maintain office supplies, equipment, and vendor relationships.
- Coordinate office maintenance, facility management, and workplace safety.
- Organize meetings, events, and office activities.
- Handle incoming mail, shipments, and office correspondence.
- Support onboarding logistics for new employees.
- Ensure compliance with company policies and applicable federal, state, and local regulations.
- Maintain accurate office records, licenses, permits, and compliance documentation.
- Coordinate mandatory compliance training and maintain training records.
- Assist with internal audits and compliance reporting.
- Support HR and leadership in implementing workplace policies and procedures.
- Provide administrative support to leadership and cross-functional teams.
- Coordinate travel arrangements and meeting schedules as needed.
- Prepare reports, presentations, and office documentation.
- Maintain confidentiality of sensitive information.
- Manage relationships with office vendors and service providers.
- Monitor office budgets and process invoices.
Ensure office facilities are safe, clean, and operational. - Coordinate repairs and maintenance activities.
- Bachelor's degree preferred.
- 3+ years of experience in office administration, operations, or compliance.
- Strong understanding of administrative processes and office management.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Experience with HRIS, procurement, or compliance systems is a plus.
- Ability to work independently while managing multiple priorities.
- Knowledge of U.S. workplace compliance and employment regulations.
- Strong attention to detail and problem-solving abilities.
