Sales Administration Assistant (Sales)

Agro Liquid is looking for a Sales Administration Assistant to provide dependable administrative support to our Sales Operations team. In this role, you will help manage key communication, meeting and event logistics, invoice and document workflows, CRM contact updates, and recurring sales support processes. Key Responsibilities:Sales Operations Administration
- Own daily management of the inbox, including triage, routing, response coordination, escalation, follow-up tracking, and closure documentation.
- Maintain Sales Operations calendars, recurring task lists, distribution schedules, and administrative tracking tools to ensure routine work is completed on time.
- Own communication distribution, including preparing, validating, sending, and archiving communications and related documents.
- Maintain organized electronic files, records, and process documentation for Sales Operations administrative workflows.
- Own logistics for assigned Sales meetings, regional meetings, Sales training sessions, and Sales-involved Marketing events, including scheduling, room/virtual setup, attendee tracking, supplies, materials, and post-meeting documentation.
- Coordinate administrative components of incentive trip execution, including communications lists, attendee documentation, logistics trackers, materials, and records under the Specialists operational direction.
- Prepare and distribute meeting materials, reminders, agendas, notes, and follow-up trackers according to established timelines.
- Maintain readiness checklists and post-event records so recurring events improve over time.
- Own Sales team invoice coding, Doc Link check request entry, routing, documentation, and follow-up within established approval guidelines.
- Coordinate PNC documentation, coding support, monthly review preparation, and exception follow-up for the Sales team.
- Track status of submitted invoices, check requests, and related approvals; resolve routine issues and escalate exceptions promptly.
- Maintain accurate records to support budget tracking, audit readiness, and timely payment processing.
- Own assigned CRM contact updates, data cleanup tasks, duplicate review, and routine data hygiene activities based on process standards set by the Lead and Specialist.
- Maintain contact lists, Sales team rosters, distribution lists, meeting attendee lists, and event-related records.
- Run routine CRM/contact reports as assigned, verify completeness, and flag data gaps or inconsistencies for correction.
- Support Sales team access to accurate administrative records, templates, links, and recurring resources.
- Prepare routine Sales Operations communications using approved templates, distribution lists, and timing expectations.
- Own completion of assigned recurring process steps and communicate status, risks, or blockers without requiring repeated prompting.
- Identify recurring administrative issues and recommend simple process improvements to the Specialist and Lead.
- Provide dependable operational support to Sales Operations by owning assigned work through completion, not only by assisting others.
- Follow all safety policies, procedures and protocols at all times.
- Responsible for maintaining a clean and safe working environment
- Special projects and misc. duties as deemed necessary

- Associates degree in business administration or related field or equal experience
- Excellent time management skills, the ability to prioritize work and self-motivated
- Great attitude, communication and customer service skills
- Proficient computer skills (Microsoft Office & CRM preferred)
- Outstanding communication skills written, verbal and presentation
- Exceptional organizational skills including attention to detail and multitasking skills
- Knowledgeable in office procedures and familiar with standard concepts, practices, and procedures within this particular field.
- Ability to stand; sit; lift; squat; stoop and move up to 35 pounds
- Drivers License with good record.
