Office Administrator/ Coordinator
To support the president and advance the operations of the President’s Office in fulfilling the mission and purpose of Hillsdale College. The Correspondence Manager oversees presidential correspondence from receipt through response and archival; drafts, edits, and coordinates written communications; and serves as a representative of the president and liaison with College departments. The position also involves interaction with donors, visitors, students, parents, and other College constituents and requires discretion, sound judgment, excellent written communication, and a thorough understanding of the College and its mission.
EssentialJob Functions
- Manage and coordinate incoming and outgoing correspondence and communications for the President’s Office.
- Draft, edit, proofread, and prepare correspondence and other written materials.
- Assist with the management and coordination of presidential email communications.
- Work with other College departments and personnel to obtain information and support President’s Office needs.
- Maintain accurate correspondence records, files, archives, and College database information.
- Hire, train, and supervise President’s Office student employees to support the work of the office and the president and maintain effective office processes.
- Prepare and reconcile presidential expense reports and related financial documentation.
- Provide administrative, research, and project support to the president and President’s Office as needed.
- Perform additional duties as assigned, including assisting with College and President’s Office activities and occasional after-hours responsibilities.

Education and ExperienceThis position requires a bachelor’s degree or a bachelor’s degree in progress, along with strong administrative, organizational, and communication abilities. Prior experience in administrative support, professional writing or editing, communications, office management, or a related field is preferred. Experience in an executive office or other professional setting requiring discretion, independent judgment, and the handling of confidential information is also preferred.

- Excellent command of English grammar, style, punctuation, and professional correspondence, with meticulous attention to detail.
- Ability to work independently, exercise sound judgment, take initiative, and follow through on assignments.
- Strong organizational skills and ability to manage multiple priorities and deadlines with accuracy.
- Ability to exercise discretion and maintain confidentiality in handling sensitive information.
- Strong analytical, research, and problem-solving skills.
- Knowledge of Hillsdale College’s mission, philosophy, organizational structure, and issues, or the ability and willingness to develop such knowledge.
- Working knowledge of office productivity and information-management platforms, including Microsoft Office, Perceptive Content, Blackbaud CRM , and Trello.
