Job Summary

The Academic Affairs Specialist provides organizational skills, administrative and technical support, and project leadership to academic personnel, programs, and students; and provides student academic advising as needed. The position will meet academic and professional qualifications, work with discretion and confidentiality, demonstrate dedication to academic excellence and student-centered education, and will support the mission and objectives of Bay Mills Community College.

Essential Duties and Responsibilities
  • Support faculty and staff success through assistance in the implementation and maintenance of course shells in the college’s learning management system (LMS).
  • Assist instructors with creating courses, proofreading, correcting course material, creating and updating grade books, and uploading other materials in the LMS as needed.
  • Analyze and apply trends and best practices in learning technologies and instructional design.
  • Develop training courses and curriculum to support faculty professional development. Determine the appropriate delivery method (e.g., instructor-led, webinars, videos, online courses, etc.) and develop all supporting materials including but not limited to training outlines, presentations, guidance documents, end user guides, etc. in alignment with adult learning principles.
  • Assist with auditing course content and course accessibility for online courses.
  • Assist with the training of academic faculty and staff with regard to rules, regulations, and procedures of the College.
  • Assist with the evaluation of effectiveness of training and development programs and utilize relevant evaluation data to revise or recommend changes in instructional objectives and methods.
  • Incorporate user accessibility requirements in training design to ensure all users are able to access training courses and materials in the college’s LMS.
  • Assist in the collection, organization, and preliminary analysis of course and program data, including enrollment trends, course success rates, teacher-to-student ratios, and student feedback. Share insights with department leadership to support continuous improvement and planning.
  • Assist with the collection of student feedback and evaluation forms, distribution of copies to department chairs, and reporting of discrepancies and students concerns to the Dean of Distance Education and VP of Academics.
  • Support the department and the college with all accreditation standard compliance, including, but not limited to the Higher Learning Commission accreditation standards.
  • Assist department chairs in articulation activities with high schools and universities.
  • Attend meetings, as needed, with high schools and universities to collaborate articulation activities and promote academic programs within the institution.
  • Maintain all records of current and past articulation agreements.
  • Collect and coordinate textbook information with Department Chairs and create and organize textbook order reports.
  • Manage communication, textbook procurement, methods of payment, and buying options for the college and the online bookstore. Report updates to the Dean of Distance Education, VP of Academics, and VP of Business and Finance. Maintain point of contact with online bookstore.
  • Assist the Department of Academics with the administration and coordination of Academic Affairs grant related functions.
  • Assist with student academic advising regarding course registration, as needed.
