Operations Manager, Program / Project Manager
We are seeking an experienced and motivated Practice Manager to provide operational leadership for a privately owned mixed animal veterinary practice serving both companion and production animal clients. This position is responsible for the overall business management, strategic planning, and human resource functions of the practice, working closely with the ownership team to ensure optimum patient care, financial health, employee engagement, and exceptional client service.
The ideal candidate is a strong leader who can balance business strategy with day-to-day operational oversight while fostering a positive workplace culture and supporting a high-performing veterinary team.
Key Responsibilities Business Operations & Strategic Planning- Oversee daily business operations to ensure efficiency, productivity, and excellent client service.
- Partner with practice ownership to develop and execute short- and long-term strategic plans.
- Monitor key performance indicators (KPIs), practice metrics, and benchmarks.
- Identify opportunities for growth, improved profitability, enhanced client experience, and operational efficiencies.
- Develop and implement policies, procedures, and best practices across all areas of the practice.
- Coordinate facility, equipment, and technology needs to support clinical operations.
- Lead special projects and business initiatives as assigned.
- Work closely with the practice’s CPA and bookkeeping/business associate to support financial management and reporting.
- Review financial statements, budgets, revenue trends, and expense management.
- Assist with annual budgeting, forecasting, and financial planning.
- Monitor practice performance and recommend strategies to improve financial outcomes.
- Ensure appropriate internal controls and business processes are maintained.
- Lead all human resource functions including recruitment, hiring, onboarding, retention, and employee development.
- Develop staffing plans to support practice growth and operational needs.
- Manage employee performance evaluations, coaching, disciplinary processes, and conflict resolution.
- Foster a positive, collaborative, and accountable workplace culture.
- Ensure compliance with employment laws, workplace policies, and safety regulations.
- Oversee employee benefits administration, scheduling coordination, and compensation recommendations.
- Support leadership development among veterinarians and department supervisors.
- Promote a culture of exceptional client care and customer service.
- Address escalated client concerns and facilitate effective resolutions.
- Support marketing, community outreach, and client retention initiatives.
- Identify opportunities to strengthen client relationships and enhance the practice’s reputation.
- Bachelor’s degree in Business Administration, Management, Human Resources, Healthcare Administration, or related field; equivalent experience may be considered.
- Minimum 3–5 years of management experience with responsibility for personnel, operations, and business performance.
- Demonstrated experience in human resource management, team leadership, and organizational development.
- Strong financial literacy and ability to interpret financial reports and business metrics.
- Excellent communication, leadership, and problem-solving skills.
- Proficiency with business reporting tools including Quickbooks.
- Comfortable troubleshooting technology issues and collaborating with third-party IT vendors.
- Veterinary practice management experience. Proficiency with veterinary practice management software.
- Experience in healthcare, agriculture, animal health, or other service-based industries.
- Certification as a Veterinary Practice Manager (CVPM) or willingness to pursue certification.
- Experience leading multi-department teams and managing organizational growth.
