ESSENTIAL DUTIES AND RESPONSIBILITIES:
Responsibilities include assisting with the planning and monitoring of BIBCO operations and projects. This position will assist with preparing and adhering to the operations budget, providing input and assistance for day-to-day operations. Assure compliance with human resource laws and Company policies and practices to provide reliable service to the public; confer with supervisors on unusual problems or issues.
The Assistant Operations Manager directs and performs spot inspections of BIBCO vessels and terminals to ensure regulatory and departmental policy compliance; travel to various BIBCO sites is required. This position will be tasked with balancing compliance with U.S. Coast Guard regulations, the needs of the public, the requirements of the Beaver Island Transportation Authority, and MDOT policies.
MINIMUM QUALIFICATIONS:
A Degree in Business/Public Administration, Marine/Nautical Science or related field with three (3) years of direct managerial experience is required. Preference will be given to candidates in marine operations and/or public transportation management. Accounting software knowledge is a plus.
TASK
SUMMARY:
Assist Operations Manager with the following:
- Manage the maintenance of company computer systems, software and equipment.
Supervise the training of employees in the use of the computer system and software. - Administer the Company Safety Policy.
- Manage employee, training, drug/alcohol testing and performance evaluations.
- Maintain employee records of training, certifications and licenses.
Provide/organize employee training so as to be in compliance with U.S. Coast Guard, State and Federal requirements. - Perform employee background checks.
- Provide recommendations on policy, rates, schedules and other aspects of company operations.
- Manage the implementation and training of the Company Security Plan in accordance with U.S. Coast Guard requirements.
- Coordinate and work with Charlevoix and Beaver Island staff to maintain appropriate levels of service for our customers, dock structures and equipment, vessels and office buildings.
- Develop a preventative maintenance schedule in coordination with the General Manager, Senior Captain, Maintenance Engineer and Dock Managers.
Maintain work/supply list, including placing or approving orders and scheduling repairs with local contractors as required for all company equipment and facilities.
Manage all maintenance logs and records. - Maintain Company property inventory.
- Perform the duties of Deckhand, Dock Manager, Office Manager or shuttle bus driver as required, if necessary for relief purposes.
- Be familiar with Beaver Island and all aspects of the Company so as to effectively answer phones, take reservations, or answer inquiries by the public.
- Be familiar with the Company Mission Statement and use it to guide policy and conduct in all operations.
- Answer customer complaints/requests and manage Company operations in the absence of the Operations manager or the General Manager.
- Other duties as assigned.
- Prepare schedules for office personnel. Ensure that appropriate personnel are available to meet the published schedule while staying within budget perimeters.
- Provide excellent customer service to all passengers and/or potential customers.
- Follow the Company Mission Statement and the Employee Handbook.
- Perform other tasks as assigned.
TRAINING/EDUCATION and/or EXPERIENCE
- Basic business knowledge; understanding of the concept of responsibility, authority and accountability, profitability and business ethics.
- Thorough knowledge of the relevant maritime laws, U.S. Coast Guard rules and regulations governing the operation of a passenger vessel.
- The ability to work well under pressure and use good judgment when required to make quick decisions.
- Comfortable and personable in dealing with people.
