SummaryThe Program Secretary supports and coordinates all aspects of the program/school office. The Program Secretary performs confidential responsibilities necessary for an efficient and effective school office to support and assist staff, administrators, students and families. The Program Secretary serves as the first welcoming contact for the community when calling or visiting the program. The Program Secretary represents READS Collaborative with integrity, professionalism, and efficiency.
Under the direct supervision of the DHH Program Director to provide clerical, secretarial and administrative assistance to school administrators at the READS Collaborative School for the Deaf and Hard of Hearing, 399 Old Colony Road, Norton, MA.
- Previous secretarial and/or school office experience
- Bachelor's Degree Preferred
- Proficient in current technologies including Google for Education, Microsoft Office Suite, eSped or similar IEP software and Student Information Management Systems
- Strong communication and organizational skills. Candidates for Program Secretary for the Deaf and Hard of Hearing Program must be familiar with American Sign Language and/or have an ability/interest in learning skills for communicating with staff, students and families.

Reports to and supervised by:
Program Director
- Coordinates the proper distribution according to timelines for all correspondence, materials, IEPs, progress reports, evaluations, report cards and other business for the program.
- Obtains proper signatures on all documents as applicable.
- Directs calls, assists callers and takes messages.
- Arrives prior to student arrival and leaves after student dismissal in order to field calls regarding transportation issues for students.
- Notifies the Business Office and District Services when new students are admitted or students leave the program and maintains data on all related information.
- Maintains all student and information in databases, files and related software.
- Communicates with host school office staff as needed to coordinate and problem solve issues as directed by program directors.
- Accurately and efficiently schedules and maintains meeting dates, meeting locations, notifies necessary staff and community personnel and keeps program directors informed.
- Communicate with school districts regarding student information, meetings and evaluations.
- Maintain attendance records for staff and students, including an updated student census, on a daily basis and reports to the Business Office and sending schools, respectively.
- Assist with communication to families and communities through social media such as the website, Instagram or other forms of communication.
- Disseminate information to all stakeholders as requested by the program directors.
- Coordinates with the host school for use of building conference space and meeting rooms.
- Responsible for entering requisitions for ordering supplies and materials for all staff and both Program Directors.
- Responsible for sending approved timesheets to the Business Office on a weekly basis.
- Receives, coordinates, inventories and distributes mail and supplies/materials as appropriate. Retrieves mail from the administration office at least once per week.
- Assists the Administrative Assistant to the Executive Director in preparing staff and student data for EPIMS, SCS, SSDR, Restraint and other data reports to submit to DESE.
- Monitors and maintains program office equipment and supplies.
- Transports mail and important items to and from the Administration Building for the program regularly.
- Other appropriate duties as assigned by the Program Director or Executive Director.
- Ability to maintain confidentiality of information regarding students, employees and others.

Salary Range: $42,000 - $54,000 per year
Additional DutiesPerforms other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.
