The Department of Developmental Services (DDS) invites applications for an Office Support Specialist I at the Southeast Regional Office in Middleboro, MA. The role supports the functioning of the Southeast Residential Services and Commonwealth Enterprises through administrative support to the Executive Director responsible for 200+ individuals in 50 homes and 2 supported employment sites.
Job Responsibilities- Assist with the development, revision, and oversight of agency policies and procedures manual(s).
- Prepare reports and compile data using computer software/databases.
- Answer phone calls, draft and analyze correspondence, respond to inquiries, file documents, manage data, fax, copy, and scan documents.
- Schedule and attend regular meetings for the Management Team; maintain minutes and records.
- Operate standard office machines and equipment such as photocopiers, fax machine, computer, and calculators; ensure ongoing functionality.
- Monitor assigned agency projects and tasks.
- Supervise two office staff.
- Monitor and maintain office supplies and inventory.
- Proficient with Microsoft Office Suite (Outlook, Excel, Access, Word).
- Excellent organizational and communication skills.
- Ability to multi‑task, prioritize, work independently and as part of a team.
- Ability to file material in accordance with standard filing procedures and maintain accurate records.
- Strong written and verbal communication skills with aptitude for proper grammar, punctuation, and spelling.
- Knowledge of clerical office practices including recordkeeping, office correspondence control, typing, use of office equipment, supplies and business preparation.
- Skilled in operating general office machines and equipment.
- Must be at least eighteen (18) years of age.
- Must possess a current and valid Class D Motor Vehicle Operator’s License.
- Full‑time – 37.5 hour weekly position.
- Schedule – Monday through Friday, 8:00 a.m. – 4:00 p.m.
- Days off – Saturday and Sunday.
First consideration will be given to applicants who apply within the first 14 days. Applicants must have at least two years of full‑time (or equivalent part‑time) administrative experience. Substitutions are permitted: an associate’s degree or higher in business administration, business management, or public administration may replace the required experience; an associate’s degree in another major may replace up to one year of experience.
Educational substitutions may be prorated; a maximum of two years of required experience may be replaced by education.
