Position OverviewThe Bilingual Administrative Assistant provides administrative support to office operations. They communicate with customers by phone and in person and collaborate with Warehouse and Sales teams to ensure smooth workflow and customer satisfaction.
Responsibilities- Answer and direct phone calls, greet visitors, and handle inquiries.
- Assist customers in both English and Spanish.
- Maintain and organize paper and electronic files.
- Schedule appointments and manage calendars.
- Coordinate with the warehouse and Sales Representatives.
- Enter and update information in databases.
- Operate office equipment and arrange repairs as needed.
- Prepare and distribute correspondence, meeting notes, and reports.
- Order and dispense office supplies.
- Support team projects and contribute to committee work.
- Bilingual Spanish/English communication.
- Previous office experience.
- Tech-savvy; comfortable with computers, database management, and office software.
- Strong organizational and multitasking abilities.
- Excellent interpersonal and customer service skills.
- Experience in a family-owned or small business environment.
- Familiarity with warehouse or sales operations.
- Ability to adapt to new office technologies.
- High school diploma or equivalent is required.
