Office Assistant – Middlesex Campus (Middletown, CT)

Work Hours: Full‑time, 40 hours per week
Schedule: Monday – Friday
Shift: 8:30 am – 4:30 pm
Location: 100 Training Hill Road, Middletown, CT 06457

Position Overview

Office support for the Campus Dean of Students and Faculty at CT State Community College. Provides clerical and administrative assistance, processes documents, maintains databases, interacts with students and staff, and supports the efficient operation of the campus office.

Key Responsibilities
  • Typing:
    Enter and retrieve data on computers, tablets, and other electronic equipment.
  • Filing:
    Set up and maintain office procedures, filing and indexing systems, and forms for own use.
  • Correspondence:
    Compose routine correspondence and respond to inquiries from other units or departments.
  • Report Writing:
    Compile and generate technical, statistical or financial reports, using judgment in the selection and presentation of data.
  • Interpersonal:
    Provide general information and referral services in response to citizen complaints or questions; lead lower‑level employees in assigned clerical functions.
  • Processing:
    Maintain calendars of due dates, process documents for routine case status, exercise discretion in follow‑through procedures, handle purchase requisitions/orders, prepare payment lists and billing invoices, receive shipments, maintain files, journals, account ledgers, and manage inventory.
  • Performs related duties as required.
Knowledge, Skills, and Abilities
  • Knowledge of office systems and procedures, proper telephone usage, and filing.
  • Interpersonal, oral, and written communication skills.
  • Performing arithmetical calculations.
  • Operate office equipment including computers, tablets, and other electronic devices.
  • Use office suite software.
  • Schedule and prioritize workflow.
  • Read and interpret complex instructions.
Minimum Qualifications

• Two (2) years of general clerical work experience.

College training may substitute for the general experience: fifteen (15) semester hours equaling one‑half (½) year of experience, up to a maximum of two (2) years.

Preferred Qualifications
  • Experience working in an academic setting.
  • Experience with educational technologies (e.g., Banner).
  • Experience in a multi‑faceted, high‑volume environment.
  • Experience working with a diverse population.
  • Strong communication skills, clear and professional.
