The Finance Supervisor/Deputy Director of Finance is responsible for performing accounting functions such as accounts payable, accounts receivable, and payroll. Responsible for maintaining accurate and precise accounting records and may act in the capacity of a customer service representative if needed. Responsible for acting as deputy to Director of Finance as needed.
AUTHORITYAll employees have the authority to stop operations/production for the following three reasons:
1) a quality defect,
2) an unsafe act, or
3) a health hazard.
- Supervises and ensures compliance of payroll process
- Oversees retention of payroll records
- Leads payroll projects and manages payroll workflow
- Oversees resolution of payroll issues
- Identifies and implements new procedures to mitigate future payroll concerns
- Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
- Determines payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and worker’s compensation payments.
- Proactively researches new trends and forward-thinking payroll processes
- Reviews state and federal tax payments and reports
- Resolves payroll discrepancies by collecting and analyzing information.
- Provides payroll information by answering questions and requests.
- Reconciles payroll amounts to general ledger
- Tracks financial trends by executing payroll analysis
- Maintains payroll operations by following policies and procedures; reporting needed changes.
- Maintains employee confidence and protects payroll operations by keeping information confidential.
- Contributes to team effort by accomplishing related results as needed
- Maintains and certifies compliance with federal and state regulations and guidelines
- Payroll programming as needed
- Supervises processing of customer payments
- Supervises research and resolution of payment discrepancies
- Reconcile bank and other accounts as required
- Track and submit 401K with holdings
- Coordinate month end physical inventory, prepare worksheets and distribute to appropriate individuals and summarize results.
- Maintains, balances, and distributes petty cash fund
- Responsible for collecting and managing cash flows
- Determine sales tax status of all purchases and prepare appropriate documentation for exempt purchases.
- Effectively perform any other duties as assigned or deemed necessary and appropriate.
- Assist with the end of month closing & different projects as assigned.
- Support the development of the corporation's plans and programs
- Serves as Deputy to Director of Finance as needed
- Act as Staff Accountant (AP/AR) backup as needed
- Assist staff in performing their responsibilities by providing timely and accurate analysis of budgets, financial reports and financial trends.
- Provide technical financial advice and knowledge to others within the financial discipline.
- Provide strategic financial input and leadership on decisions making issues affecting the organization.
- Assist with end of month closing
- Analyze historical and current financial data to understand the company’s financial status
- Develop predictive financial models to support organizational decision-making
- Analyze processes to identify gaps that can improve profit margins
- Assists with audit reconciliations and requests
- Create written reports that enable management teams to make strategic decisions to meet business goals
- Develop forecasting tools to automate financial data analysis
- Identifies process improvement initiatives and defines standards for new processes.
- Oversees and ensures that employee/employer contributions are submitted for 401(k) plan
- Preparation and submission of monthly financial accounts
- Works at all levels to identify areas of opportunity for cost reductions, efficiency improvements, data analysis and throughput
- Treasury and credit control, including working with commercial and quality departments to resolve customer disputes; highlighting solvency issues and take appropriate actions of recourse against parties demonstrating liquidity issues (bad or doubtful debts,) while at times, protecting the company’s…
