Administrative Secretary to the Superintendent

Qualifications:

  • High school graduate.
  • Willingness to work as a team member and to provide assistance.
  • High degree of proficiency in office procedures, word processing, filing, organizational skills, and machines.
  • Possess a strong knowledge and experience in computer programs: DASL, Word, Excel, and other computer systems.
  • Proficient organizational skills set.
  • At least three years of experience in performing secretarial work.
  • High degree of proficiency in office procedures.
  • Self-motivated and an ability to work on multiple tasks with minimal supervision.
  • Maintain professionalism and confidentiality in all interactions within the school district.
  • Good health, high moral character, and good attendance record.
  • Acceptable BCII report and FBI report.
  • Ability to meet all job expectations and objectives.
  • Such alternatives to the above qualifications as the Superintendent and/or Board of Education may find appropriate.

Job Goals:

  • To provide high quality positive customer service.
  • To provide secretarial, clerical, and support services to the supervisor.
  • To further the mission and vision of the school district.
  • To establish and maintain records.
  • To provide consistent customer service to all individuals who interact with the district, including students, parents, staff and the public.
  • To serve in a wide variety of clerical functions.
  • To effectively manage the department budget, including grants as applicable.
  • To convey information regarding school functions and procedures.

Performance Responsibilities:

  • Serve as a receptionist; greet all visitors and callers to the district in a courteous and professional manner.
  • Advance the district's professional image. Maintain open/effective communications. Use problem-solving techniques to tactfully address and resolve questions/concerns.
  • Refer district policy interpretation inquiries to administrators.
  • Answer telephone inquiries, take messages, and promote positive public relations for the district.
  • Prepare reports using a variety of sources.
  • Type, duplicate, and distribute a variety of materials.
  • Provide information to district stakeholders, and respond to inquiries from internal and external parties.
  • Initiate and maintain physical and computerized departmental files including verification of completeness of files.
  • Assist with the creation and implementation of public relations initiatives.
  • Proficient computer skills on district software and other technology to effectively perform their job duties.
  • Assist as needed to facilitate community participation in school activities.
  • Prepare computer documents. Maintain a systematic filing system that supports the efficient retrieval of records. Perform back up procedures to safeguard electronic/digital information.
  • Prepare timely paperwork. Collect, format, and edit information. Verify the accuracy of data.
  • Update board policy and administrative procedure manuals.
  • Prepare board agendas and assembles meeting packets. Prepare a board-meeting summary for public distribution.
  • Record minutes of meetings (e.g., administrative cabinet, labor management committee, etc.).
  • Keep administrators/staff informed about scheduled events.
  • Prepare the annual report and district calendar.
  • Provide clerical support and maintain a secure office environment.
  • Coordinate a variety of programs and activities.
  • Ensure efficient operation of the site.
  • Compile data from a variety of sources for the purpose of preparing reports.
  • Coordinate assigned projects and/or activities.
  • Maintain a variety of manual and electronic documents, files, and records for the purpose of providing up-to-date information and/or historical reference for students and employees.
