Administrative Assistant – Overview
The Administrative Assistant assists in the efficient operation of the assigned property by performing a variety of clerical and administrative functions to drive company success. The role supports the property leasing team and community managers with all administrative tasks, following company operating policies.
Duties & Responsibilities- Welcome and direct residents, prospects, vendors and guests.
- Answer and screen phone calls, transfer when necessary.
- Respond to and resolve administrative inquiries and questions.
- Assist with leasing apartments in the absence of the leasing specialist.
- Draft correspondence and other formal documents including lease agreements, notices and supporting documentation.
- Plan and schedule viewing appointments and events.
- Assist with application and move‑in processes.
- Assist with move‑out processes.
- Maintain electronic filing systems as assigned.
- Process invoices.
- Process rent checks and remote deposits.
- Assist with apartment inspections.
- Prepare and follow up on resident work requests.
- Work seamlessly with a team of professionals.
- Maintain office supplies and coordinate maintenance of office equipment.
- Perform other related duties as assigned.
- Desire to learn the multifamily housing business and embrace growth opportunities.
- Ability to prioritize and multitask.
- Excellent written and verbal communication skills.
- Strong interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Exceptional organizational skills and attention to detail.
- Basic understanding of clerical procedures.
- Ability to work independently.
- Ability to follow instructions from supervisor.
- High school diploma or equivalent required. Associate’s degree or trade school preferred.
- Previous experience in office administration or related fields.
- On‑job training offered.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
