Position Summary: The Administrative Assistant provides comprehensive support for general office operations, events, and projects. This role assists officers, program leaders, visitors, volunteers, staff, corps members, community groups, and clients by performing a variety of administrative tasks. Responsibilities include answering telephones, managing correspondence, and handling day-to-day office duties. This is a full-time, on-site position.

Essential Responsibilities
  • Provides timely, smooth and professional communication and correspondence related to all corps programs, including feedback and follow-up with staff, leadership, corps members, program leaders, clients, visitors, and volunteers
  • Manages and distributes incoming calls, mail, email, and faxes
  • Works with Corps Officer and other staff to create, prepare, and send mailings, and emails, as needed
  • Maintains inventory of supplies, furnishings, equipment; ordering supplies as requested
  • Assists with the recording of all donations (mail and other) as directed and prepares income sheet for bookkeeper
  • Maintains spreadsheets and databases
  • Assists Corps Officer with maintenance of schedule and Outlook calendar
  • Maintains forms (social services, youth registration, employment) as requested
  • Creates weekly worship bulletins, periodic flyers and other church communication materials
  • Provides input to building upkeep and maintenance needs - reports all problems, schedules outside vendors as needed
  • Attends meetings, including advisory board, records notes and prepares minutes as requested
  • Coordinates volunteer database using The Salvation Army volunteer databases
  • Performs other duties as assigned
Qualifications Education/Experience
  • High school graduate or equivalent (GED) required; or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities
  • Two years of office or administrative experience (preferred)

  • Maintain strict confidentiality
  • Excellent organizational, grammar, writing and typing skills
  • Ability to communicate effectively and accurately
Computer Skills
  • Proficient in Microsoft Office 365
  • Working knowledge of TEAMS and Share Point
  • Willingness to learn new software as needed
Certificates and Licenses
  • Complete Safe From Harm training, and keep current as needed
  • Must have a current valid driver's license and pass the Salvation Army Motor Vehicle Record check (MVR)
