Administrative Support Specialist

As an Administrative Support Specialist, you will play a vital role in ensuring efficient office operations by providing comprehensive administrative and clerical support to our team. You'll act as the point of contact for visitors, help organize meetings and travel, and manage a variety of tasks with professionalism and initiative. You'll thrive in a fast-paced environment, working both independently and collaboratively while demonstrating a commitment to quality, safety, and continuous improvement.

Key Responsibilities
  • Provide professional administrative assistance to team members and leaders, ensuring smooth day-to-day office operations.
  • Facilitate meeting logistics, including booking conference rooms, arranging refreshments, coordinating visitor access, and preparing supplies.
  • Receive, screen, and direct incoming calls, visitors, and mail, presenting a positive and helpful attitude at all times.
  • Prepare, organize, and deliver reports in alignment with established procedures and guidelines.
  • Proactively identify and resolve office equipment issues, leveraging training resources and collaborating with senior-level admins as needed.
  • Research travel options and coordinate itineraries for team members, including flights, accommodations, and car rentals; arrange simple travel requests and run occasional errands.
  • Schedule and adjust meetings as directed by leadership, maintaining accurate calendars and communications.
  • Utilize business software applications (e.g., Microsoft Office, SAP) and stay updated on technology changes and best practices.
  • Collect and scan receipts, generate expense reports, track inventory, and order office supplies as required.
  • Actively support and promote Dow's safety behaviors and core values, intervening when unsafe actions are observed.
  • Complete assigned tasks efficiently and accurately within set timelines, demonstrating adaptability, initiative, and attention to detail.
  • Communicate clearly and effectively with colleagues, building strong working relationships and keeping others informed of project status.
  • Engage in continuous learning, seeking ways to improve processes and enhance efficiency.
  • Demonstrate basic proficiency in Dow software and IT tools, independently identifying appropriate solutions for different tasks
Requirements
  • Education: Bachelor's Degree OR 1–3 years proven experience in administrative, clerical, office support, or customer service roles.
  • Technology: Proficiency in Microsoft Office applications required. Experience with SAP for administrative processes is a plus (training provided).
  • Skills: Strong organizational, communication, and problem-solving abilities; eagerness to learn; commitment to safety and respect for all team members.
