Assists the Elections Administrator and Voter Registration Coordinator by performing various clerical tasks required for the management of voter registration and elections. Serve as English‑Spanish Bilingual Coordinator and translator for voter registration and elections. Will be cross trained with other personnel.
- Process daily incoming and outgoing mail.
- Responsible for tracking the number of outgoing Voter Registration Confirmations.
- Answer main telephone line, greet office visitors, and assist public with voter registration questions.
- Maintains office and election supplies. Prepare orders, receive, and stock office and election supplies as needed.
- Performs data input and retrieval functions utilizing a variety of software programs for elections and voter registration.
- Assist in maintaining voter registration database including adding new registrants, processing address confirmations, voter registration cancellations, probates, the State Exemption list, rejections, duplicate voters, suspensions and processing voter notifications for a portion of the alphabet.
- Work the Midland County Death list per assignment schedule.
- Assist in maintaining Elections website, posting updates as needed along with any necessary notices and reports.
- Prepares Early Voting and Election Day supply wagons and supplies, combination forms, required forms, instruction manuals for the election judges, and other required computer‑generated materials.
- Responsible for receiving and reviewing paperwork returned post‑election to insure all required signatures are present.
- Responsible for Assisting Election Judges with transporting election supplies to vehicles at the time of pick up.
- Keep a checklist of all supplies that the Presiding Judge picks up and returns at the end of Early Voting and Election night.
- Assist voters with locating voter registration records when unable to be located at a polling location
- Assist in conducting training for election judges and clerks.
- Assist in programming election equipment.
- Troubleshooting equipment during elections at various locations. Requires use of personal vehicle.
- Local and out of county travel is a requirement.
- Weekend work and overtime in preparation for an election, during an election, and immediately after an election is a requirement.
Performs other such related duties as may be assigned by Elections Administrator/Assistant.
Requires high school graduation or equivalent, and 3 years office experience and public interaction or equivalent combination of education and experience.
Valid Texas Driver's License, bondable, Registered Voter.
Knowledge of election and voter registration processes and terminology.
Proficiency in word processing, spreadsheet development, and database software applications (Word, Excel, Access); detail oriented; ability to meet deadlines; self‑motivated and able to work well under pressure; demonstrates a professional attitude and appearance. Punctual for work and meetings. Stay up to date with procedures and processes.
PHYSICAL DEMANDSThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to sit, reach with hands and arms; talk and hear. The employee is required to stand and walk occasionally. Employees must occasionally lift and/or move objects weighing up to fifty (50) pounds, such as ballot boxes, election voting equipment, election supply wagons, printers, records, and reports.
Specific vision abilities required by this job include close vision and ability to adjust focus.
Irregular, sometimes long hours in preparation of and during elections; driving is required in your personal vehicle, within the county; stress related to deadlines and regulations; weekend work is required during elections; overnight travel is required at least once per year for Annual Election Law Seminar.
WORK ENVIRONMENTIndoors, office environment; during elections, job may require tasks to be performed in various locations throughout the county to coordinate voting.
