Assist the District Clerk to establish procedures of operations for department. An Assistant Chief Deputy is a registrar, recorder, and custodian of all court pleading, instruments, and papers that are part of any cause of action. This position indexes and secures all court documents and collects filing fees. The role of this job is to make documents available to the court as requested, and to inform the parties of important actions in the case by issuing appropriate processes.
Essential Duties and Responsibilities

ESSENTIAL DUTIES, RESPONSIBILITIES AND KNOWLEDGE include the following and all other duties as assigned.
  • Processes new, dispositions, and dismissal of cases.
  • Obtains Judge's signatures on documents as needed.
  • Notifies Judges and attorneys of errors found in the judgments.
  • Reads all judgments and orders from the courts for preparation of executions and abstracts.
  • Files all bonds posted for various court proceedings.
  • Notifies all attorneys and parties of scheduled proceedings.
  • Coordinates details of appeal with Court of Appeals and attorneys.
  • Prepare transcripts and send to Court of Appeals according to rules of Appellate Procedure.
  • Assists child support clerks in processing information.
  • Assists public in locating cases and making certified copies.
  • Assist Chief Deputy District Clerk with petit jury as needed.
  • Attends Court to serve papers, and have paupers affidavit signed, and testify regarding processing of various legal documents.
  • Issues subpoenas and enter into the computer.
  • Issues Bills of Cost
  • Oversee filing of post-conviction writs of Habeas Corpus.
  • Prepares and issues bench warrants.
  • Prepares exemplified certificates for District Clerk's and Judge's signatures and make necessary copies of documents.
  • Prepare and issues summons for defendants to appear in court, and issue arrest warrants for those who fail to appear.
  • Oversees filing of motions for release of affiant.
  • Frequent maintenance of manuals for assigned sections.
  • Checks files and/or services for assigned sections
  • Works abortion, Jane Doe, and wiretap cases.
  • Accepts documents filed electronically (e-filing).
  • Regular attendance is required. Must arrive at work on time, prepared to perform assigned duties and work assigned schedule.
  • Tracking employees leave time and preparation of Attendance Reports
  • Online subscription site, collecting subscriber fees and escrow funds.
  • Assist in Financial Section as needed.
  • Prepares dismissal dockets. Sends notification to all parties and prepares orders of dismissal.
Qualifications, Education, and/or experience

High school graduation or its equivalent. Plus at least five years of experience; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities.
Knowledge, Skills and/or ability

Maintain up-to-date knowledge of the laws regarding the Family code, civil procedure rules, and criminal law, Texas rules of court, and appellate procedure. District Clerk office practices and procedures; and standard office practices, procedures, and equipment.

Organize and prioritize tasks to be assigned and completed; read, write, and understand manuals, instructions, and documents; analyze various situations and determine best solution; work and make decisions independently; communicate effectively both orally and in writing; establish and maintain effective working relationships with co-workers, attorneys, and Judges. Must be able to meet deadlines, multi-task, work as a team, and perform work with a high level of accuracy and organization.

Operate computer applications; perform basic arithmetic and accounting functions.

- Regular full-time employees are provided general medical, hospitalization, and dental insurance coverage. This is free to the employee if they take a yearly HRA and have negative Cotinine test yearly. Employees may obtain coverage under the group plan for family members at their own expense. All benefits have a waiting period of the first of the month following 30 days of hire.
