Job Goal
Responsible for managing campus operations and business programs, initiatives, and procedures.
Position Qualifications- Bachelor’s Degree from an accredited college or university OR Minimum 2 years of experience in a related field
- Supports the mission, vision and values of Harmony Public Schools.
- Takes responsibility for managing campus operations and business programs, initiatives and procedures including, but not limited to, facilities, student attendance, child nutrition, student health, transportation, purchasing, budgeting, accounting, payroll, timekeeping and reimbursements.
- Oversees daily attendance at the campus.
- Oversees child nutrition programs at the campus and ensures implementations according to regulations.
- Oversees timely and accurate processing of free/reduced lunch applications.
- Arranges bus transportation for certain school events as needed.
- Oversees registrars in admission of new students, re‑enrollment of current students, and maintenance and timely processing of student records at campuses that do not have a student recruitment coordinator.
- Oversees the school’s purchasing/procurement process, including requisition, purchase order, receipt of goods and services, invoice processing, following HPS purchasing guidelines.
- Maintains current agreements for all contracted services.
- Manages purchase orders for the campus, cleans up cancelled or unused items and fulfills used ones to aid accurate forecasting of future expenditures.
- Ensures invoices are processed in a timely manner to maintain a clean credit history.
- Processes reimbursement requests promptly.
- Takes responsibility for sorting, distributing and uploading receipts‑invoices for the district accountant for further processing.
- Prepares, approves and submits monthly payroll change forms (time sheets, insurance paperwork, etc.).
- Reviews pay stubs and timesheets for all campus employees each pay period, checking extra duty payments, status of active and terminated employees, and substitute records.
- Assists campus and district leadership in developing the Campus Improvement Plan (CIP).
- Ensures timely completion of work orders from school principals and the administrative office for building and ground maintenance and construction work.
- Assigns work schedules for renovation, remodeling and repairs of the facility.
- Manages the activity fund for the campus, overseeing deposits, withdrawals, and monthly reconciliations, encouraging campus‑wide fundraising activities, overseeing uniform sales, and preparing monthly activity‑fund reconciliation per HPS guidelines.
- Maintains time and effort documents and submits them timely to the district/central office.
- Coordinates correction/reclassification of grant expenditures with the grants department.
- Informs the grants department immediately regarding position/duty changes of employees paid by the grant fund.
- Prepares reports and presentations.
- Reviews daily cash receipts.
- Performs other duties as assigned.
- Ability to communicate effectively in both written and oral forms with all levels of management, both internal and external to the district.
- Ability to establish and maintain effective working relationships internal and external to the district.
- Ability to use computer including software, database used by the district, spreadsheet and word processing software, calculator, copy machine and telephone.
- Ability to analyze data and generate reports.
- Ability to use effective interview techniques, public speaking skills and problem‑solving skills.
Physical Requirements
- Light work: may require occasional light lifting.
- Nights and weekend activities will be occasionally required.
- Position is in an office setting and may involve prolonged work at a desk in one location.
- Moderate travel is required.
