Administrative Assistant | Midland, Texas, United States [About the Role] Join our dynamic West Texas Construction Services group as an Administrative Assistant in Midland, TX. This pivotal contract role provides essential support to supervisors, maintains critical company records, and ensures smooth office operations. [Responsibilities] - Process invoices, correspondence, time entry, expense reports, and material requisitions
- Maintain accurate logs and verify expenditure accounts
- Reconcile statements, resolve discrepancies, and ensure audit accountability
- Coordinate meetings, business lunches, and travel arrangements for supervisors
- Manage office equipment, supplies, and vendor relationships
- Provide first-level technical support for PC software and hardware
- Track, report, and maintain records using proprietary corporate applications (Ulti Pro, FIM, Maximo, WMIS, DEIS, EI, DIS IDispatch) - Oversee vehicle and transportation asset records, including licensing and maintenance
- Dispatch for on-call and emergency situations
- File and archive job jackets, maintain spreadsheets, and create claims invoices
- Stock kitchen area and coordinate with contractors for project needs [Required Skills and Experience] - High School Diploma, GED, or equivalent - 2-5 years of relevant administrative experience
- Proficient with Microsoft Word, Excel, Power Point
- Strong keyboarding and typing skills
- Effective communication and interpersonal abilities
- Experience operating standard office equipment
- Ability to respond to after-hours call-out duty as needed [Preferred Skills]

- Experience with proprietary software systems (Ulti Pro, Maximo, etc.) - Previous work in construction or field services environment [Benefits] - Office casual dress code
