Responsibilities

  • Assist the Elections Administrator and Voter Registration Coordinator with clerical tasks related to voter registration and elections.
  • Serve as a bilingual coordinator and translator for voter registration and elections (English–Spanish).
  • Process daily incoming and outgoing mail.
  • Track the number of outgoing Voter Registration Confirmations.
  • Answer the main telephone line, greet office visitors, and assist the public with voter registration questions.
  • Maintain office and election supplies, place orders, receive items, and stock supplies as needed.
  • Perform data entry and retrieval using software programs for elections and voter registration.
  • Assist in maintaining the voter registration database, adding new registrants, processing address confirmations, cancellations, probates, exemptions, rejections, duplicate voters, suspensions, and notifications for a portion of the alphabet.
  • Work the Midland County Death list according to the assignment schedule.
  • Assist in maintaining the Elections website by posting updates and necessary notices and reports.
  • Prepare early voting and election day supply wagons, combination forms, required forms, instruction manuals for election judges, and other computer‑generated materials.
  • Receive and review paperwork returned after elections to ensure all required signatures are present.
  • Assist election judges with transporting supplies to vehicles during pickups.
  • Keep a checklist of all supplies that the presiding judge picks up and returns at the end of early voting and election night.
  • Help voters locate voter registration records when they cannot be found at a polling location.
  • Assist in conducting training for election judges and clerks.
  • Assist in programming election equipment and troubleshoot equipment during elections at various locations.
  • Travel locally and out of county as required; use personal vehicle for travel.
  • Work weekends and overtime in preparation for, during, and immediately after elections.

Performs other related duties as assigned by the Elections Administrator/Assistant.

Qualifications
  • High school graduation or equivalent.
  • At least three years of office experience involving public interaction, or an equivalent combination of education and experience.
  • Valid Texas driver’s license, bondable, and a registered voter.
  • Knowledge of election and voter registration processes and terminology.
  • Proficiency with word processing, spreadsheets, and database software (Word, Excel, Access).
  • Detail oriented, self‑motivated, able to meet deadlines, and capable of working well under pressure.
  • Professional attitude and appearance. Punctual for work and meetings.
  • Stay up to date with procedures and processes.
Physical Demands

Employees must sit, reach with hands and arms, talk, and hear. Employees must stand and walk occasionally. Employees must occasionally lift and/or move objects weighing up to 50 pounds, such as ballot boxes, election voting equipment, supply wagons, printers, records, and reports. Specific vision abilities required include close vision and ability to adjust focus.

Irregular, sometimes long hours in preparation for and during elections; driving in a personal vehicle within the county; stress related to deadlines and regulations; weekend work is required during elections; overnight travel is required at least once per year for the Annual Election Law Seminar.

Work Environment

Indoors, office environment. During elections, the role may require tasks performed in various locations throughout the county to coordinate voting.
