Context:
Our client is seeking a highly proactive, detail-oriented executive assistant to support the CEO of a growing oilfield services company. This individual will act as a true right-hand partner—owning calendar management, coordinating logistics, and ensuring the CEO stays organized, prepared, and focused on high-impact priorities.

This role requires a go-getter mentality, strong judgment, and the ability to operate with urgency, discretion, and minimal direction.

Responsibilities:
  • Schedule, coordinate, and prioritize meetings across internal and external stakeholders.
  • Manage shifting priorities and protect time for key initiatives.
  • Set up Microsoft Teams meetings and send invites.
  • Prepare agendas, track action items, and follow up as needed.
  • Book flights, hotels, rental cars, and itineraries.
  • Ensure seamless travel experiences and adjust plans in real time when needed.
  • Assist with personal calendar coordination and scheduling.
  • Handle miscellaneous requests, errands, and time-sensitive tasks.
  • Track expenses, receipts, and reimbursements.
  • Assist with basic reporting and documentation.
  • Anticipate needs before they arise.
  • Prioritize requests and manage competing demands with professionalism.
Qualifications:
  • 3+ years of administrative experience, ideally supporting a CEO, executive, or senior leader.
  • Strong organizational and time management skills.
  • Ability to operate in a fast-paced, high-demand environment.
  • High level of discretion and professionalism.
  • Excellent communication skills (written and verbal).
  • Proficiency with Microsoft Office Suite, especially Outlook and Teams.
  • Resourceful, adaptable, and solution-oriented mindset.
