We are seeking a dynamic and results-driven Payroll Specialist to support our onsite HR team in Midland, TX. The Payroll Specialist is responsible for accurately processing payroll and job-related billing in a fast-paced oil and gas environment. This role works closely with HR, Operations, and Finance to ensure employees are paid correctly, clients are billed accurately, and compliance requirements are met.
Key Responsibilities Payroll Processing- Process weekly and/or bi-weekly payroll using Paylocity for hourly and salaried employees
- Ensure accurate time entry, job coding, overtime, per diem, and shift differentials
- Review and audit payroll data for accuracy and compliance
- Manage payroll corrections, off-cycle payrolls, and adjustments
Administer payroll-related benefits deductions including medical, dental, vision, 401(k), garnishments, and other voluntary deductions - Perform monthly benefits invoice reconciliations and ensure proper coordination of employee deductions with carrier invoices
- Coordinate with HR to ensure accurate setup and maintenance of benefit deductions and changes
- Maintain payroll records in compliance with federal, state, and company policies
- Prepare and process customer billing related to labor, job sites, and projects
- Reconcile payroll hours to billing reports and job cost allocations
- Ensure proper documentation for billable hours and rates
- Assist with resolving billing discrepancies with internal teams and clients
- Ensure compliance with wage and hour laws, including overtime and state-specific regulations
- Support audits related to payroll, billing, and labor costs
- Generate payroll and billing reports for management as needed
- Partner with HR on terminations, pay changes, and employee records
- Coordinate with Operations to verify job assignments, schedules, and field hours
- Provide payroll and billing support to employees and supervisors
- Minimum 2 years of payroll and billing experience, preferably in oil & gas or construction
- Hands-on experience with Paylocity preferred
- Strong understanding of hourly payroll, overtime, and job costing
- High attention to detail and ability to meet strict deadlines
- Proficient in Microsoft Excel and payroll reporting tools
- Ability to handle confidential information with professionalism
- Experience with prevailing wage, per diem, or field-based work forces
- Familiarity with timekeeping systems and job cost tracking
- Office-based with regular interaction with field operations
