Job Description

POSITION: Human Resources Generalist

EXEMPT STATUS: Non‑Exempt

NUMBER OF DAYS: 226

PAY GRADE: Clerical PG-6

DIVISION: Human Capital Management

DEPARTMENT: Human Capital Management

REPORTS TO: Human Resources Director

SUPERVISES: None

EDUCATION: High School Diploma or GED

EXPERIENCE: Minimum three to five years of secretarial clerical experience. Minimum of three years school district human resources services experience preferred.

Position function/purpose

Provide assistance to employees in the certification process when needed and ensure that the district is in compliance with SBEC and NCLB regulations.

Major Responsibilities
  • Maintain confidential documents and forms.
  • Process, sort, and distribute Personnel Recommendations, Separations, and Change forms.
  • Process and manage personnel records for non‑contract new hires, support, auxiliary, and professional support staff including personnel file, new hire paperwork, resignations, and maintain/update accurate information on the database/mainframe as appropriate.
  • Process and maintain paperwork for new hires, re‑hires, transfers, resignations, terminations, retirees and leaves of absence.
  • Submit accurate information to various departments.
  • Assist current employees and/or administrators with SBEC certification and HQ issues.
  • Verify employment history and years of service records.
  • Process reference letters for each applicant to verify prior employment.
  • Assist current employees, applicants, and clients/applicants with certification Q&A regarding SBEC certification and HQ requirements.
  • Process criminal history reports, schedule appointments, and fingerprinting as needed.
  • Upload and download information to the state registry.
  • Maintain HR spreadsheet for non‑contract and support staff job vacancies.
  • Manage HRS database and create database reports as needed.
  • Maintain close communication with the Technology Information Management department regarding database updates.
  • Correspond with employees, new hires, TEA, colleges and universities, school districts (private and public) throughout the U.S. and foreign countries.
  • Update the certification status of all non‑contract employees and compile tracking reports.
  • Keep Director informed of certification and HQ problems and progress.
  • Assist in training of new personnel as needed.
  • Assist with the management of online applications.
  • Assist applicants via telephone and new applicants (in‑house).
  • Verify and assist the Director in correspondence for TWC unemployment complaints.
  • Manage the Highly Qualified process for paraprofessionals including determining Highly Qualified status and reporting.
  • Update job descriptions.
  • Assist other office personnel with clerical/data entry assignments as needed.
  • Assist with the substitute services personnel as needed.
  • Assist with the Awards Program as needed.
  • Perform other duties as assigned.
Qualification Requirements
  • High School Diploma or GED.
  • Proficient in Microsoft applications including Word, Excel and PowerPoint and web‑based/internet software.
  • Knowledge of SBEC certification and permit requirements.
  • Knowledge of NCLB Highly Qualified requirements.
  • Qualify as Notary Public.
